Job Description

We are seeking an Executive Assistant to the CEO who will utilize their exceptional time management and organizational skills to tackle an extensive and fast moving calendar while providing structure, order and organization to the Office of the CEO. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO. The right candidate will have a command of balancing company priorities while navigating the CEO through her day. The role offers the opportunity to be exposed to a wide range of senior stakeholders and requires an understanding of the business and a strategic mindset. We are looking for an energetic individual who is ready for a challenge and is inspired by our company’s mission. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

 

Responsibilities

  • Effectively manage CEO’s extremely busy calendar with strategic thought and awareness as to purpose, timeliness, participants and business reasons for meetings. Proactive approach needed to minimize constant juggling of last minute requests/demands and constant shuffling of meetings. Ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
  • Coordinate seamless travel itineraries, maximizing CEO’s time and effectiveness while minimizing logistical issues
  • Coordinate all preparatory documentation/briefings, and proactively handle logistics and hospitality for meetings, conference calls, board meetings, recruiting interviews, committee responsibilities, press events, and any other related items.
  • Create, triage, and respond to written and verbal correspondence while exercising a high degree of discretion and confidentiality
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response
  • Create processes and procedures to ensure timely matters are communicated effectively to the CEO and her time is managed wisely, events and meetings are prepared for well in advance, and the executive team is better prepped with a roadmap of upcoming events and needs
  • Provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Special projects as requested by the CEO or her Chief of Staff
  • Prepare and submit expense reports and reimbursements

  • You’re organized – and efficient. You can remain organized when meetings need to be shifted and are able to prioritize based on timeliness and needs.
  • You’re trustworthy. It imperative that you are able to maintain confidentiality as you will be assisting the CEO with everything that crosses her desk and inbox.
  • You’re a great communicator. You are able to engage professionally – both verbally and in writing – with CEOs and interns alike, as you will be meeting and greeting all guests of the CEO.
  • You’re positive. You maintain a sense of positivity when faced with any issue and are able to problem-solve with ease.
  • You’re collaborative but capable of working independently. You have both the ability to work on your own as well as with others. As EA to the CEO, you will work closely with every department to drive projects forward.

 

What We're Looking For:

    • Undergraduate degree
    • 10+ years of administrative assistant experience, with at least 5+ years as an executive assistant to a C-suite level executive, preferably in professional/financial services, consulting or tech settings
    • Exceptional professionalism, communication (both written and verbal) and interpersonal skills
    • Strong work ethic (willing to go the extra mile) and high level of energy
    • Experience building relationships both internally (among employees) and externally (with vendors, customers, etc.)
    • Self motivated, proactive, extraordinarily detail oriented
    • Problem solver
    • Calm demeanor under pressure and ability to remain professional at all times
    • Ability to act as gatekeeper for CEO’s calendar and to ensure meetings run in a timely and smooth fashion
    • Enthusiastic, warm attitude with a strong desire to help make things better
    • Enjoy working collaboratively but be able to execute independently
    • “Nothing is beneath me/too small” attitude
    • Extremely comfortable in both Google documents as well as Office 365, technologically comfortable with Skype, spreadsheets, presentations
