Description:

As our Office Manager, it will be your mission to help employees work more efficiently, with motivation and a sense of responsibility. We are looking for an energetic, positive, quick thinking and articulate individual who is both detail-oriented and capable of visualizing the "big picture." As an Office Manager, you’ll assume a wide range of responsibilities requiring creativity and organization. The Ideal candidate will be able to multi-task under pressure, proactively solve problems, plan ahead, communicate professionally with executives and staff, and handle confidential information with the utmost discretion.

The Office Manager will be primarily responsible for creating and implementing systems to organize, maintain and improve workflow at a rapidly growing office. This includes systems to manage shared resources including both kitchens and the conference rooms, conceiving and organizing events and programs to enhance company culture.

 

Key duties:

Office Administration: Manage all office operations, facilities and corporate events.

The role offers the opportunity to elevate a thriving company – in an environment that values innovation, autonomy and integrity.

  • Take full ownership of the day to day operations of our office, including all duties relating to facilities, IT and equipment maintenance, supply management and procurement, snacks and beverages, and conference room scheduling
  • Drive employee engagement and moral by coordinating internal office activities and office space enhancement initiatives
  • Oversee receptionist/office administrator role
  • Manage office support online help desk - responding to service tickets and delegating appropriate tasks to the office administrator
  • Manage and support internal company communication via the online intranet platform
  • Manage office budget/purchase card program; generating monthly reports and account reconciliation
  • Take an active role during orientation and company tours to help support new hire fit and communicate company values
  • Drive improvements or find creative solutions for inefficiencies around the office
  • Own the office aesthetics - be a nut about getting rid of clutter, maintaining cleanliness, keeping the kitchen organized, snack inventory, and the overall organization of common spaces
  • Plan and coordinate office events such as:
    • Lunch & Learns
    • Onsite meetings/panels for NM working partners and relevant consultants
    • Tech and Financial community events/meet-ups in collaboration with FED tech leads
    • Own event logistics, including:
      • Selecting event venues
      • Determining the audio/visual needs
      • Negotiating contracts with outside vendors
      • Arranging catering, décor, recruiting and managing attendees/volunteers
      • Printing and distributing event materials.

What We're Looking For:

    • Undergraduate degree and direct experience as an office manager or manager of an employee engagement/culture team.
    • A strong work ethic (willing to go the extra mile).
    • Experience building relationships both internally (among employees) and externally (with vendors, customers, etc.).
    • Exceptional communication skills (both written and verbal).
    • Self motivated, proactive, detail oriented problem solver
    • Calm demeanor under pressure
    • Enthusiastic, warm attitude with a strong desire to help make things better
    • Enjoy working collaboratively but be able to execute independently
    • “Nothing is beneath me/too small” attitude
    • Service the client attitude : visitors and employees alike!
