The Opportunity

Kargo is seeking a highly capable, polished and resourceful Administrative Assistant to support members of the Kargo Executive Team. Kargo’s Administrative Assistant is part of the People Operations team and reports to the Chief of Staff. This role keeps the trains running on time at Kargo and provides all types of support with a positive, can-do attitude – no job is too big or too small. The AA must be professional, confident, adaptable and able to figure it out on the fly. This role provides a prime introduction to the world of advertising & media and for a candidate who hits it out of the park, is a stepping stone to their next role at the Company.

The Daily To-Do

  • In-person role, reporting to the NYC office 5 days a week. Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests.
  • Welcomes all visitors, and guides them to the appropriate location to make them feel comfortable at the Kargo office.
  • Manage the calendars of C-Suite members using Google Calendar. Schedules internal and external meetings for the Executive Team and keeps them on schedule.
  • Coordinates domestic and international travel and hotel accommodations for the Executive Team pertaining to business travel only, using points and corporate programs to secure the best terms and pricing.
  • Maintains Expensify to record monthly expenses. 
  • Prepare agendas for meetings and make arrangements, such as coordinating catering for in-person breakfast or lunches.
  • Responsible for coverage when the Executive Assistant to the CEO is out of office.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Prepares plans and specifications for pickup/shipment, mailings, etc.
  • Answer phones and direct callers to the appropriate point of contact.
  • Performs other related duties as assigned.

Qualifications : 

  • First-rate organizational skills. This individual needs to keep the Executive Team on schedule for any and all appointments.
  • Confidentiality. You will be handling confidential tasks for members of our C-Suite. Discretion is key.
  • Self-confidence and resilience. Must be able to think quickly, exercise sound judgment and course correct as necessary. 
  • Ability to multitask, prioritize, and sweat the details.
  • Excellent written and verbal communication skills.
  • Must be available to work outside the standard 9-5 day. 
  • Proficiency in Google Suite, Microsoft Office, and Slack.
