OVERVIEW

VICE is seeking a Department Coordinator to join VICE Tech, our Global Product & Engineering team, in our Dumbo, NYC office. She/he will report directly to the Chief Product Officer, and work closely with the VP of Engineering and Director of Technical Program Management, managing the team, department expenses, and facilitating overall team operations.

The Department Coordinator is a proactive and highly-organized individual who wants to gain exposure to the technical side of a vibrant, growing media company. They will frequently interact with high-level VICE execs and key stakeholders, and therefore must be an excellent written and verbal communicator.

She/he will lead various efforts for VICE Tech to get involved in the larger tech and digital media community, including planning and executing internal and external team events. The Coordinator will assist team leads in meeting management, and will manage scheduling and travel for the Chief Product Officer.

RESPONSIBILITIES

  • Manages team, departmental expenses, and facilitates operations, reporting directly the Chief Product Officer
  • Leads bi-weekly Senior Staff Meeting, spearheading operational efforts across the department
  • Facilitates cross-departmental communication with high-level VICE execs and key stakeholders
  • Manages department budget and acts as lead liaison between VICE Tech and finance; manages and reconciles executive & team travel, and all department spending.
  • Facilitates communication with key strategic business partners (Apple, IBM, Google, etc.)
  • Leads various efforts for Product & Engineering to get involved in larger tech and digital media community, acting as an evangelist on behalf of department
  • Plans and executes regular meetups, leading involvement in larger tech & media community and driving hiring efficiency
  • Assists team leads in meeting management: preparation, documentation, and follow-up —including the general corralling of key stakeholders across the VICE global company with complex scheduling needs
  • Leads onboarding of new staff and training on our internal tools & programs
  • Actively involved in department meetings with Ad Ops, Sales, and Editorial teams to help align goals with strategies of product & engineering
  • Supports project management, user operations, and QA team when extra hands are needed for triage, testing and launching new products
  • Responsible for calendar management and scheduling team meetings
  • Responsible for team travel arrangements and expense tracking
  • Perform other related duties as assigned

QUALIFICATIONS

  • Bachelor's degree (preferably in Business, Media, Marketing, or Communications)
  • Prior internship or professional experience in digital or media a major plus
  • Technical savvy - candidate must be proficient in learning new digital tools and systems, as well as technical troubleshooting
  • Professionalism and discretion
  • Strong organization skills, keen attention to detail and ruthless about follow-through
  • Prior exposure to advertising, sales, and editorial is a major plus, as you will be working closely with these departments
  • Excellent written and verbal communication skills
  • Event planning experience a plus
  • Ability to interact diplomatically and professionally with a variety of internal and external stakeholders
  • Proactive work ethic and ability to multi-task various priorities and deadlines
  • Thrives with both autonomous project work and collaborative problem solving
