The Role

We are currently seeking an Executive Assistant to provide comprehensive support to our President/Co-CEO at our New York office 5 days a week. The successful candidate will thrive in a dynamic, fast-paced environment and demonstrate proficiency in managing various responsibilities concurrently.

This role is a blend of professional and personal assistant duties, 70% professional tasks, and 30% personal assistant responsibilities. However, the exact percentage may vary depending on seasonal demands and business needs.

What You’ll Do

70% Executive Assistant

  • Efficiently manage day-to-day scheduling, coordination, and meeting logistics, providing top-notch support with minimal oversight, and prioritizing tasks based on business needs.
  • Proactively anticipate needs and identify potential problems, employing resourcefulness to find solutions and mitigate challenges.
  • Organize and oversee all aspects of domestic and international travel itineraries, as well as manage expense reports efficiently.
  • Ensure the President/Co-CEO is well-prepared for all internal and external meetings by collecting pre-read materials from internal stakeholders, developing clear meeting agendas, drafting preparation documents, and ensuring all necessary materials are readily available.
  • Maintain proactive communication with the President/Co-CEO, providing constant updates and ensuring expectations are met.
  • Keep the President/Co-CEO informed of any ongoing projects, emails, mail, or other correspondence.
  • Foster relationships with executives and colleagues across various teams to facilitate collaboration and communication.
  • Assist with various projects and company offsites as needed.

30% Personal Assistant 

  • Schedule car services for all travel requirements, ensuring timely and convenient transportation arrangements.
  • Manage and coordinate all personal appointments for the President/Co-CEO, optimizing their schedule for efficiency and effectiveness.
  • Coordinate family arrangements, demonstrating discretion and attention to detail in managing personal (confidential) matters.
  • Organize personal domestic and international travel, including accommodation and itinerary planning, while also attending to other personal tasks as necessary. (Experience with Private Charters preferred).

Qualifications

  • Bachelor's degree; 5+ years' experience in an Executive Assistant role. 
  • Ability to be proactive and take initiative.
  • Prior experience working for a C-Suite executive or senior leader within a company preferred.
  • Ability to work in a fast-paced environment, and ability to pivot at a moment’s notice.
  • Highly motivated and ability to multitask.
  • Excellent interpersonal and verbal and written communication skills.
  • Strong administrative, planning, and organizational skills.
  • Exercise good judgment in a variety of situations.
  • Respect for confidentiality and discretion to properly handle sensitive information.
  • Meticulous attention to detail and accuracy.
  • Proven competency using G-Suite and MS Office applications
  • Must be able to work 5 days a week in-office and occasionally on the evenings and weekends.

*Compensation Range: $130,000-$150,000

Must be located or willing to relocate to New York City Metropolitan Area


*This range represents the low and high end of the base salary someone in this role may earn as an employee of adMarketplace in the New York office. Salaries will vary based on various factors including but not limited to professional and academic experience; training; associated responsibilities; and other business and organizational needs. The range listed is just one component of our total compensation package for employees. Salary decisions are dependent on the circumstances of each hire.
