Associate, HR Operations & Facilities

We are seeking a reliable, exceptionally organized, can-do and service oriented Onsite HR Operations & Facilities, Associate.
As the Onsite HR Operations & Facilities, Associate you will be responsible for overseeing the in-office employee experience including food and beverage, security, maintenance, and housekeeping functions for our NYC office.
You will also support our People Operations team on various tasks including on-boarding, employee orientation and other project/ scheduling activities.
Reporting to our Director of People Operations, this is a fantastic opportunity to be exposed to a fast-paced, ever changing startup environment. The ideal candidate is a self-starter with experience in creating and improving processes.

What you'll do:
- Create a welcoming and well run office environment for our employees and partners.
- Oversee the front desk in a friendly, courteous, professional manner.
- Ensure security and safety procedures for employees and visitors. Arrange for visitors and ensure all visitors have vaccine cards and complete health attestations
- Sort and manage mail, ensuring compliance and CX receive mail for timely resolution.
- Ensure all building problems are reported and resolved.
- Partner with vendors to ensure the pantry and supply closet meet the needs and the culture of the office.
- Support on-site team meetings with catering and room set up needs.
- Act as a Point person for mailing, shipping, supplies, equipment, bills, storage of IT Assets, and errands
- Support People Operations in coordination of hiring, on-boarding, calendaring of orientation and day one paperwork.
- Serve as backup to talent acquisition coordinators, such as calendar orientation sessions for new hires.
- Respond to all requests for employment verification
What we're looking for:
- 1-3 years of Facilities and Office management experience.
- Administrative, office management and/or HR experience preferred; must be flexible with a willingness to learn and take initiative with a variety of tasks and projects.
- Energetic, empathetic, natural relationship-builder who possesses the ability to engage and connect with others quickly
- A team player who is capable of working in a fast-moving, ever changing startup environment
- An organized, self-starter who knows how to prioritize their day
- Highly approachable and employee-service minded. Creates the culture in everything you do
