About the Role
Cockroach Labs is looking for a Culture and Office Experience Manager to embody our culture and create an office experience that reflects our values, whether it’s in our NY Headquarters, co-share offices, or with our Remoachers who work from home. You will perform a wide range of administrative and office support activities to enhance our already engaged workforce. You will be the first person most employees and guests encounter when they enter our office and will be a crucial component of our unique company culture. This position is part of the People Operations team with the opportunity to directly impact culture.
You Will
- Ensure the office is organized and welcoming to all visitors, greeting and directing visitors in a professional, friendly, and hospitable manner, which includes answering and directing incoming calls.
- Take pride in the appearance of the office, and ensure the office is clean, organized, well-maintained, and well-supplied.
- Manage shipping and receiving for the office and retrieve, sort, and distribute incoming mail.
- Manage meeting room calendars and associated logistics and ensure conference rooms are clean and presentable.
- Serve as the main point of contact for all internal and external office related questions.
- Boost team happiness and productivity by managing and planning events, including but not limited to catering set up, team social and business engagements in and out of office, in office events with external guests, and other engagements as needed.
- Assist with the employee experience from new hire orientation (assemble company swag & orientation folders for their first day, greet and give office tours) to exit.
- Execute administrative tasks (manage calendars, book travel, and schedule facilities and equipment) as needed.
- Handle urgent or ad hoc projects as required.
- Have the ability to work overtime for special projects as needed, including some weekends.
The Expectations
In your first 30 days, you will work closely with our Facilities Manager to become familiar with our environment and culture. While learning about our unique culture, you will build a foundation to work on a variety of responsibilities to ensure the office experience is an organized, efficient, safe, fun and collaborative environment for our employees that reflects and promotes our cultural values.
Your starter project within your first 90 days will include (but not be limited to):
- Taking ownership of welcoming new Roachers on their first day. You will work with Facilities, IT, and Employee Experience to ensure Roachers have what they need when they arrive. This will include everything from the ideation and creation of onboarding swag to the welcoming of new Roachers at our company-wide team meeting.
- In office employee engagement. You will take on the execution of our cultural engagements like Tea Time, Happy Hours, and CREWS (Cockroach Employees Who Support).
- Ad-hoc support for our first annual RoachConf! In December, Roachers from across the globe will gather in our NYC HQ for talks, workshops, and special guest speakers! You will work closely with Facilities and Employee Experience to ensure the internal conference is a hit.
After 3 months, you'll be fully integrated into the team. You will work more independently, improving and identifying new ways to provide a unique culture and office experience for both Roachers and visitors.
You Have
- Passion for working in quickly changing environments and owning multi-functional pieces (culture, engagement, office management, administrative/executive duties) in a very highly visible role.
- Interest in being involved in the organization's culture and planning fun events.
- Solid organizational skills with acute attention to detail, taking pride in the appearance of the office.
- Ability to work independently and to define and solve problems, set priorities, and propose solutions effectively with minimal direction or guidance.
- Demonstrated ability to interact effectively with a wide variety of people and levels of management.
- Willingness to learn, be flexible, remain calm under pressure, and play an essential role in an exciting and growing company.
- A team player mentality and are not afraid to roll up their sleeves to help get things done.
- Professionalism, solid communication skills, and the ability to handle sensitive information.
- Knowledge of MS Office (Word, Excel, Chrome, Outlook) and G Suite Apps.
- 2+ years of professional work experience as an Office Manager, Executive Assistant, Administrative Assistant, or similar. Past startup experience is a plus!
