About the team & Opportunity:

The People Team’s mission is to exemplify and promote Quartet’s values with integrity and authenticity, and to foster a welcoming and rewarding environment where people can thrive. The People Team consists of several groups, including the HR Business Partner function, Talent Acquisition, Learning and Development, DEI, and Culture & Community. 

The HR Coordinator will be responsible for ensuring our team members have a positive employee experience at Quartet by providing excellent administrative support. This is a true Coordinator role; the person in this role will play a key part in maintaining employee records and data, completing administrative work for the People team, and handling ad hoc projects as needed. The HR Coordinator role is an excellent opportunity for an early careerist interested in gaining valuable, foundational experience for a career in People Operations at a fast-paced, growing organization. We have many exciting initiatives on the horizon for this year, resources and technology at our disposal, and a fun, talented team. The HR Coordinator will help us make it all happen through their eye for detail and enthusiasm.

Accountabilities:

  • Maintain all employee information in our HRIS system, updating with new hires, exiting employees, and all other employee information changes
  • Support pre-boarding and onboarding processes to get new team members ready for day one, including setting meeting schedules, hosting orientation sessions, and updating materials
  • Support offboarding activities for exiting team members, including scheduling exit interviews, sending communications about last day details, and summarizing exit interview data 
  • Manage administrative duties associated with team members on medical or parental leave, and related to immigration processes
  • Create and distribute memos reflecting changes to employees’ compensation, employment status, etc. on a regular and as needed basis 
  • Generating employee reporting on a regular and as needed basis, including hiring and attrition data, compensation data, diversity data, and more
  • Maintain our various people platforms and systems and pull reports as needed
  • Complete other ongoing administrative duties, such as managing our I9 process, creating and maintaining employee files, completing employment verifications, maintaining benefits materials, and answering employee queries 
  • Perform other projects and administrative duties as assigned

Minimum Qualifications:

  • 1 - 2 years of administrative experience
  • Extremely high attention to detail and strong organizational skills
  • Intermediate Excel/Google Sheets skills
  • Ability to handle confidential and sensitive information with discretion

Preferred Qualifications:

  • Prior experience working on a People Team in any role, and/or experience with HRIS systems (Zenefits and Lattice experience are a plus) 
  • Proactive and able to think strategically in a fast-paced environment
  • Ability to work independently and with a remote team
