NextGuest Digital is an award-winning, full-service digital marketing agency and consulting firm working with leading hotel brands and hotel companies throughout the world. We’re looking for an energetic Office Manager with strong organizational skills who will play a critical role in supporting the brand and teams of NextGuest Digital.

 

Responsibilities of an Office Administration Manager Include:

  • Maintain day-to-day office operations ensuring a functioning and well-stocked working environment 
  • Maintain utilities, pantry supplies, office storage, all common areas and conference rooms
  • Manage relationships and requests with building management, mail, cleaning staff, IT, and all office vendors 
  • Partner with Human Resources Department for on-boarding for new employees
  • Provide general support to visitors
  • Foster a fun, team-focused culture by planning team outings, and organizing office events and celebrations 
  • Coordinate external client-oriented and conference activities
  • Oversee office expenses and vendor invoices
  • Manage ad hoc projects as needed to support the leadership team
  • Assist Executive Team with expense reports submission and reconciliations, manage traveling plans, calendar and setting up meetings
  • Implement and maintain procedures/office administrative systems


Requirements:

  • Bachelor’s Degree
  • 3-5 years of related work experience required
  • Proficient in Microsoft Office, Strong Microsoft Excel skills are essential
  • Ability to thrive in a dynamic, fast-paced work environment
  • Excellent verbal and written communication skills
  • Strong analytical and organizational skills and highly detail-oriented habits
  • Be a fast learner with strong problem solving skills
  • Diligent work habits and ability to meet deadlines
  • Professional attitude and appearance
  • Experience at a startup or similar growing environment
  • Ability to work autonomously
  • Ability to prioritize and manage multiple priority tasks at once
