The People and HR Operations Specialist is a key member of the BCGDV People & Talent Team, providing generalist HR support to our DV US offices, but with a primary focus on our New York City and Chicago. The position is responsible for facilitating, tracking, and troubleshooting the processes of employee onboarding, offboarding, benefits and compensation administration, leaves of absence, US work authorization, mobility, and compliance. The Specialist maintains employee files, answers employee questions, and communicates policies. This position has broad exposure to the business operations processes that run this company: collaborating with members of the Talent Acquisition, HRBP, Staffing, Finance, and People Development functions.

The Specialist will work closely with the DV HR Talent Manager, HRBPs, and take daily direction from the HR Operations Senior Specialist. Candidates must possess a strong attention to detail, experience in a fast-paced corporate environment, and a high level of customer service.  The Specialist should be able to handle personnel matters and difficult situations with poise and tact,  always maintaining confidentiality. 

In this role you will:

  • New Hire Experience
    • Be the point person for all background check processing including submission, follow up and communication with new hires, etc.
    • Be responsible for communications to all new hires including first day logistics
    • Provide relocation information, ensure transfer memos and offer letters are signed and filed
    • Coordinate one-off new hire orientations for new arrivals to all DV US offices
    • Contribute to the ongoing evolution of onboarding programs and sessions
  • Administration of benefits and various programs
    • Process all enrollments, changes and terminations related to BCG benefit plans and coordinate open enrollment for all benefits programs, e.g. health insurance, flexible spending accounts and life insurance
    • Support greater HR team and Regional Leaders on office initiatives including but not limited to: health and wellness, recruiting, training, mobility programs, alumni engagement, affiliation events and more 
    • Oversee corporate credit card program including issuing and canceling cards, increasing limits, addressing balance issues and auditing card holder reports on monthly basis
    • Assemble and update all materials for employee packets, including new hires, transfers, maternity leaves, Short Term Disability, and employee exits
  • Other responsibilities
    • Maintain HRIS (Workday) — personal data, job/position attributes, compensation and working capacity history, leaves of absence, work authorization, etc.
    • Assist with general employee requests, letters, verifications, etc.
    • Work with DV HR Manager to maintain immigration records; liaise directly with BCG Immigration team and employees to ensure a smooth visa process
    • Schedule, track and maintain records on employee sexual harassment training in compliance with state laws
    • Assist with other HR data and reporting requests including but not limited to sick, PTO and vacation reporting liaising with DV US Finance
    • Complete employment verifications and provide employment letters upon request
    • Maintain audit records for employee files including but not limited to I9 files, quarterly benefits open enrollment, vacation tracking and offer letters
    • Perform other duties as assigned or required and Assist with ad hoc projects

You should have:

  • BA/BS degree strongly preferred
  • Minimum 2 years HR experience, preferably at a professional services firm
  • Excellent interpersonal skills, able to communicate with all organizational levels inside and outside BCGDV through establishing positive and productive working relationships  
  • Customer service oriented mentality - responds to requests with a sense of urgency
  • Comfortable working in Google sheets, Slack, Word, Outlook, Excel. Workday a plus! 
  • Ability to be flexible and adaptable to change and a fast-paced environment
  • Excellent oral/written communication skills and excellent organization and time management skills
  • Meticulous attention to detail and accuracy; Proven ability to perform high-volume data entry
