Events Lead, Employee Experience
Squarespace is seeking an Events Lead to manage and execute internal and external facing events and programs, aimed at developing and amplifying our company culture. This role will be responsible for managing events of all sizes - small employee surprises, office happy hours celebrating major company milestones, and our presence at conferences with thousands of attendees. You’ll partner with the Employee Experience, Recruiting, and D&I teams to promote and sustain our award-winning workplace.
This role reports into our Manager of Employee Experience and is based in our New York headquarters.
RESPONSIBILITIES
- Manage the planning and execution of internal and external events being driven by Employee Experience, Recruiting, and D&I
- Project management of events, conferences, and meetups including: vendor management, contract negotiation, procurement, design and asset management, budget tracking, project team management and communication, on-site support, and post event recaps/metrics.
- Local management and execution of Squarespace’s annual Summer and Holiday parties for 500+ guests
- Work in partnership with our Facilities & Workplace Services team on events held at our NYC office to ensure alignment with IT as well as third party vendors such as catering, security, and cleaning services.
- Responsible for drafting and sending local office communications, as appropriate, regarding programming and events for Recruiting, Experience, and D&I led initiatives
- Collaborate with Creative and Recruiting Teams to drive the creation of branded materials for internal and external purposes, including: employee swag, new hire swag, candidate swag, conference swag, and printed collateral
- Manage the inventory of all branded materials and swag, order timelines, and shipping logistics for event needs across Squarespace’s three office locations as well as domestic and international conference sponsorships
- Manage team resources including photo library, process documentation, and customer database
QUALIFICATIONS
- 5+ years of production and event experience
- Demonstrated experience in conference activation design and production: including: set up/break down, fabrication, onsite union/teamster logistics, AV/electrical, facilities cleaning, catering, shipping (including cross-country freight), and troubleshooting onsite setup needs
- Proven ability to manage events and complex projects end to end
- Ability to meet deadlines, anticipate next steps, be aware of prioritization
- Strong work ethic and entrepreneurial spirit
- A swiss army knife of troubleshooting: from last minute design changes to signage being printed incorrectly, the person in this role will be experienced and capable of creatively solving any challenge that crosses their path
- Organized mindset and strong administrative, analytical, and reporting skills
- A self starter, who can work independently or as part of a team delivering on projects and scoping out potential for improvements
- Strong verbal and written communication skills
- Must be flexible to travel and work evenings for events
- Experience with Atlassian’s Service Desk, JIRA project management, and Google Apps is a plus
