theSkimm’s Operations and GSD team is a group of scrappy, resourceful, and fast thinking individuals who strive each day to make the lives of Skimm HQ’rs happier and more productive. As the Office Manager and Receptionist you will be the go-to person for the office and facilities needs for our NYC HQ. Whether it’s snacks and paper towels, or ensuring our office is always putting it’s best (couch) foot forward, you will be the go-to person for all HQ office needs.

WHAT YOU'LL BE DOING

This is a big job - as theSkimm’s Office Manager and Receptionist you serve in a multi-faceted capacity by acting as our office gatekeeper by greeting all office visitors, as well as managing all office upkeep, sourcing supplies, coordinating office contractors and vendors, and organizing our food and beverage programs.

Key job duties include:

  • Creating and maintaing a welcoming office environment that represents theSkimm brand and culture. 
  • Greeting clients, candidates, and visitors promptly, and alerting appropriate employee(s) of their arrival. 
  • Escorting guests from lobby to appropriate conference room in advance of meetings. 
  • Answering calls and/or responding to phone messages placed to main company phone line. 
  • Working with your manager and GSD team on office space allocation and layout including seating charts and conference room re-designs. 
  • Managing relationships with vendors (cleaning company, HVAC, furniture vendors, recycling, water, UPS/USPS/FedEx, caterers and other contractors).
  • Planning, budgeting and scheduling office upkeep, including estimates on equipment, labor, materials and other related costs.
  • Managing all supply inventory, including office, kitchen, conference room and team specific needs.
  • Managing employee building access and security. 
  • Coordinating with relevant team members in facilitating internal and external company events, including office setup, communicating with building management, ordering food and supplies, etc. 
  • Effectively and proactively communicating pertinent information to theSkimm leadership and employees from building management and security, including building services and disruptions (e.g. elevator repairs, air conditioning issues, etc.).
  • Responding to and mitigating any employee office issues as they arise. 

WHAT WILL SET YOU UP FOR SUCCESS

  • 4+ years in an office or facilities management position
  • Extensive experience and comfort handling the needs of employees in a fast paced startup office
  • A strong attention to detail and ability to adapt to quickly changing schedules and environments without missing a beat
  • Collaboration and team mentality, with an intuition on when you should jump in and get things done without request
  • Creative and resourceful in regards to ideas on how to improve office processes and culture
