Who are we looking for?

We are looking for an Administrative Assistant who is bright, adaptive, and self-motivated. You will provide general office support for the organization and showcase our company values (i.e. tenacious, empathetic, resourceful, genuinely kind, and collaborative). In addition to the administrative responsibilities, the position offers opportunities to work on other areas critical to the company. The ideal candidate is a highly motivated and confident self-starter with strong organization and people skills.

Responsibilities:

  • Provide office support and backup coverage for other administrative staff
  • Welcome visitors, reserve conference rooms, order lunch, maintain meeting spaces
  • Manage calendars and assist in scheduling meetings and events
  • Attend team/department meetings. Take notes for distribution
  • Travel Coordination
  • Create meeting agendas and travel itineraries
  • Submit travel and expense reimbursementsInvoice processing and payment
  • Schedule and manage candidate interview process
  • Assist with on boarding and orientation of new hires
  • Coordinate flow of administrative paperwork
  • Document management
  • Answer phones and direct calls accordingly
  • Open incoming correspondence and determine appropriate course of action and priority
  • Compose, type, and edit correspondence and other materials
  • Maintain an accurate, complete filing system to facilitate immediate retrieval of any required documents
  • Maintain office supply inventory
  • Maintain break room supplies
  • Some personal errands/requests
  • Perform other duties as assigned

Qualifications:

  • High School Diploma or Equivalent, Bachelor’s Degree Preferred
  • 2+ yrs experience
  • Excellent organization and time management skills
  • Professional, poised, polished
  • Ability to work collaboratively and develop effective relationships with key stakeholders
  • Flexible and adaptable
  • Ability to work under pressure of deadlines, goals, and/or time limitations
  • A strong desire and curiosity to learn and constantly improve
  • Excellent oral and written communication skills
  • Positive and proven relationship-building skills, with an interest in maintaining positive team dynamics
  • Basic Knowledge in Google Suite
