What is the role?

The Associate Director, Systems Administrator is a newly created role within our Business Operations team, part of the CFO org at Sidewalk Labs. This role reports to our Director of Business Operations and Solutions and will actively work with the IT lead as well. The overall goal of the role is to make sure that our technical infrastructure of systems and tools, such as NetSuite and Coupa, is working well and supporting the teams in getting great work done.

We see this role as an opportunity to be the technical lead and go-to person for all Systems Administration. To be successful, you’ll work across the Sidewalk teams and proactively identify processes and systems that require updates or optimization, mapping out the existing vs ideal set-up of those systems/processes and implementing the solution. Training, education, and supporting the various end-users is important as well.

Some of the Role’s key responsibilities:

  • Own and manage our systems and tools portfolio of SaaS applications
    • Implement, administer, upgrade and provide support for e.g. Coupa, Netsuite, Ultipro, Blackline, and Salesforce
    • Report on availability and performance metrics for regular Business Reviews
    • Maintain and enhance existing process and config documentation
  • Keep our systems secure and working smoothly
    • Provide post go-live monitoring and operational support for our systems; create, modify, and configure fields, forms, and workflows
    • Manage authentication and authorization using OAUTH, SAML2.0 
    • Plan, coordinate and execute upgrades, testing and deployments
    • Manage user access and roles.
  • Optimize our systems and create more interconnectivity between them
    • Partner with users and clients to learn the underlying business processes and to spot opportunities for improvements
    • Monitor and manage our system integrations
    • Create and maintain automation for regular tasks, especially for tasks involving workflow and notification in Netsuite and Coupa.
  • Work with our users and teams so that the systems support the business
    • Assist project teams in the implementation of other systems
    • Train users and others, pinch hit on problems and errors, and/or provide the materials so users can help themselves.

What You Will Achieve

  1. After 3 months you will have...
    1. Built a strong network inside of Sidewalk Labs, understand the breadth of our work and our operating model
    2. Leaned into the business units to understand their business requirements from the key systems they use and their top priorities to address
    3. Mapped out all the key systems at Sidewalk Labs, how they are connected, how they should be connected, and what you want to prioritize
  2. After 6 months you will have...
    1. Worked with the Director of Business Operations to prioritize potential optimization projects and chosen the first one
    2. Worked with the IT team to identify key systems or processes that are missing as well as systems that can be replaced or deprecated.
    3. Run at least one user training that uplevels how we leverage our systems. 
  3. After 12 months you will have...
    1. Created a systems roadmap for the 12 months ahead
    2. Become an integral part of making Sidewalk operations stream-lined with the right kind and amount of automation

What We Expect

Substantive experience (6-10 years) managing and operating Business Systems.

  • Experience selecting, implementing, managing, integrating, and updating SaaS systems
  • Thorough grasp  of system best practices (e.g. ERP, CRM, P2P systems).
  • Formal certification in Oracle/Netsuite and/or Coupa is a plus
  • Familiarity with IT Incident Management, User Access Management processes and tools 
  • Knowledge of Application Architecture, SSO, SAML/OAUTH

Able to own this work both as technical expert and partner to the business.

  • You’ll be working with a non-technical manager who will rely on you to operate with autonomy yet seek support whenever useful.
  • You understand the basic business processes in the areas of Finance, Accounting, FP&A, HR, and Procurement
  • You can quickly learn and support other SaaS applications and systems.
  • Strong scripting skills with Netsuite (Nice to have)
