Motivate is seeking an organized and hands-on Director of Facilities to run our facilities and create a safe and efficient work environment. Your role in sustaining and developing our facilities will be critical to our organization as it continues to grow to improve business performance. They will report to the Chief Administrative Officer, sitting in our NYC office, overseeing multiple locations within New York City.

About the Role

  • Manage, plan, schedule, train and direct the activities of on-site employees (approx 5-10 support staff) and outsourced facilities vendors responsible for all aspects of operations and maintenance.

  • Lead strategic planning, direction, and goal setting for the NY Facilities department as well as recommends policies, practices, and procedures 

  • Develop schedules for preventative maintenance, cleaning and ensures that facilities are inspected regularly. 

  • Conduct monthly walkthroughs of assigned locations to ensure facilities meet company and departmental standards as well as all safety guidelines. 

  • Negotiate and maintaining facilities service contracts including but not limited to: MEP, Pest Control, Waste Removal, & General Contractors. 

  • Participate in new office move(s) and help facilitate decisions around space planning analysis, and optimization

  • Leveraging Motivate facilities ticket system, follow up with outstanding repairs & maintenance issues ensuring on-going collaboration with all corporate locations and provide a status update to Senior Managers

  • Keep track and maintain all records for floor plans, specs, materials and preferred vendor lists for each location

  • Update active projects on a weekly basis using FPS (our facilities project system). 

  • Participate with the CAO in the development of property budgets for capital expenditures, new real estate acquisition, related construction and special projects.

  • Manage annual repair and maintenance budgets for each location as well as individual project budgets to ensure compliance and spending diligence. • 

  • Develop and implement procurement procedures for all systems, including office management and facilities supplies. 

  • Coordinating common projects and goals with departmental team members (fleet management, risk and safety, facilities special projects)

 

About You

  • Minimum 5-10 years of progressive experience and responsibility in a Facilities Management, Engineering or Property Management

  • Experience providing leadership and oversight for facilities geared towards planning and design, operations, maintenance, rehabilitation and construction.

  • Knowledge of construction and building maintenance systems

  • You’re a self-starter, with ability to multitask, follow-through, think critically, and apply analytical problem solving

  • You have strong written and verbal communication skills, and are keen not to let things fall through the cracks.

  • You are proficient in google suite, microsoft office and project management software

  • You can work independently to set efficient timelines and project goals
