Your role:

As an Executive Assistant to Gooten’s CEO, you will be responsible for coordinating his complex scheduling, travel, and administrative needs, allowing him to maintain focus on the business while being efficient and productive. You’ll work cross-functionally across the organization and help drive improvements in areas such as communication, planning, and overall operational efficiency. In this role, you'll be expected to anticipate needs to increase our CEO's productivity and do everything it takes to ensure he is successful in his role. Key measures of success will be your ability to adapt and be resourceful, your ability to act as a culture carrier and represent Gooten and our CEO in a positive and professional light, and your ability to remain calm under pressure and resolve sometimes complex and unexpected issues. In addition, you will have the opportunity to work closely with the larger executive team  This role will require some evening and weekend availability.

How you'll power eCommerce:

  • Act as the gatekeeper for Gooten’s CEO by maintaining his calendar, email account and communications - including review of emails, answering those that you have insight into while drafting preliminary responses for high priority communications which require CEO approval
  • Communicate on the CEO’s behalf with external parties (investors, board members, and other important stakeholders)
  • Prepare daily and weekly schedule briefs for the CEO
  • Schedule meetings for the executive staff and board members on a monthly and quarterly basis and ensure that decks/presentations are created and distributed beforehand
  • Manage internal agendas and notes for larger exec-level initiatives
  • Attend meetings with and in lieu of the CEO and take diligent notes to be used for future reflection
  • Execute tech tests for virtual speaking engagements
  • Coordinate CEO travel and accommodations and be on call for any and all last minute changes

You should have:

  • 4-5 years of relevant EA and administrative experience, preferably supporting a member of the C-suite within a growing startup
  • Ability to take initiative and work effectively with minimal supervision
  • Extreme attention to detail and ability to treat confidential information with appropriate discretion
  • Excellent written and verbal communication + interpersonal skills
  • Experience in building out decks for presentations and executive level meetings
  • Time management skills and ability to meet deadlines
  • Problem-solving and decision-making skills
  • Proficiency in systems like G Suite, Microsoft Office, and Atlassian (Confluence, JIRA)
  • Self-motivated, detail-oriented and organized mindset
  • A flexible schedule - this role requires some evening/weekend work
