Muck Rack is looking for a highly organized and detail-oriented Executive Assistant to support our CEO, Greg Galant. Reporting to our Chief of Staff, you’ll serve as an accountability partner and gatekeeper, protecting and maximizing our CEO’s time and ensuring he is well prepared to focus on the growth of the business. 

The ideal candidate will have experience handling a wide range of administrative and executive support-related tasks, will be an excellent project manager, and will be able to work independently, with minimal oversight. 

This is an exciting opportunity to gain broad exposure to the CEO and executive team, make a big impact on our CEO’s efficiency and effectiveness, and contribute to the success of a quickly growing, self-funded and profitable SaaS business. 

This position is remote but must be based in Miami, Florida and may have occasional in-person requirements.

What you’ll do:

  • Manage a complex executive calendar, including coordinating business meetings, appointments and calls and organizing domestic and international travel; make recommendations to optimize calendar time and balance priorities
  • Plan and execute meetings and events, including team off-sites, and take responsibility for all contingencies
  • Prepare intel to brief CEO in advance of external meetings; proactively recommend meetings for CEO based on profile and proximity to travel locations
  • Process expense reporting, review and reconciliation
  • Prepare communications and presentations, often under tight deadlines
  • Execute on project management and related tasks in support of Muck Rack’s strategic plan
  • Make sense of complex, high quantity and sometimes contradictory information to effectively solve problems, including understanding executive’s and company's priorities and weighing pros and cons of various tradeoffs accordingly

If the details below describe you, you could be a great fit for this role:

  • 5 - 7 years of previous experience supporting a C-level executive in a tech start-up environment, with heavy calendar and travel management responsibilities
  • Exceptional project management and organizational skills, with a keen attention to detail
  • Strong communication skills, with the ability to write clearly, concisely and error free
  • Ability to relate openly and comfortably with diverse groups of people at all levels of the organization and with a wide range of external contacts 
  • Have a track record of using independent judgment and discretion on sensitive and confidential projects and assignments
  • Consistently achieve results, even under tough circumstances
  • Comfort with Google suite, Slack, Dropbox, Hubspot or other CRM, and generally tech savvy
