Your Impact:

We expect you to be ready to bring energy and expertise to work every day and actively seek tried and true or creative ways to make sure that our CEO is prepared for his demanding schedule. You know how to work under pressure and prioritize tasks, scheduling the most urgent and meaningful items first, your ability to efficiently and effectively schedule the most important and urgent items first.

You are confident, communicative, able to work flexible hours, able to prioritize tasks based on the CEO’s needs, collaborative and seek constant improvement of your own performance, as well as see opportunities for improvement on existing processes.

Your Opportunity:

  • You can support 3 other executives on a limited, as-needed basis.
  • Work as a team with the CCO’s EA and the Office Manager.
  • Evolve into a more senior EA role as the company grows.

Your Responsibilities:

  • Manage the CEO’s calendar, including booking meetings and hands-on assistance to ensure meetings run on time. On any given week, our CEO can be traveling far and wide to conferences across the globe, so we need someone who has an eye for the details (and time differences!).
  • Book travel and keep detailed calendar events with travel details.
  • Constantly look ahead to anticipate scheduling conflicts and necessary changes.
  • Administrative tasks such as entering expenses, setting up meeting rooms, ordering lunch, setting dinner reservations.
  • Meticulous attention to detail, especially regarding the CEO’s calendar.
  • Liaise with Clarifai’s PR firm scheduling interviews, speaking engagements, and appearances.
  • Assist other office EA with event/conference workflows.
  • Craft new and edit existing presentations for variety of events and audiences, including building and reviewing/editing content.
  • Serve as a conduit for information from other staff members to the CEO.
  • Be conscious of and remind CEO of pending deadlines.
  • Handle urgent matters with poise and efficiency.
  • Pivot tasks as needed to ensure priority tasks are complete.
  • Make last minute scheduling changes seamlessly and communicate them effectively to all involved parties.
  • Look ahead enthusiastically to anticipate and solve problems before they reach anyone else’s radar.
  • Know everyone at the company, who they are, and what role they perform, be a connector between the CEO and staff.
  • Establish trust and with the CEO through constant, efficient communication, as well as handling confidential matters with discretion.
  • You understand our company-wide strategy and incorporate it into your work for the CEO.
  • Be a professional, positive representative of the CEO and the Clarifai brand to potential and existing clients, investors, peers

Your Experience:

  • You have at least 2 years experience as an EA for a C-level/Executive
  • Background in a rapidly changing environment
  • You are an expert with Google tools, Microsoft Office, Slack, and Jira
  • Comfortable preparing presentations for company-wide meetings, speaking engagements, and meetings with our Board
  • Excellent written and verbal communications skills, proofreading ability a plus
  • You also bring high energy and confidence along with your organizational skills

Must be able to start ASAP. Must be able to pass background check.
