As Executive Assistant to our President and COO, Lily Shen, you will have the opportunity to work alongside some incredible talent, and to learn all aspects of our operations. Your ability to maximize the time, productivity, and effectiveness of Lily and other key executives, will have a direct and meaningful impact on the company, team and culture.

What you'll do:

  • Be the gatekeeper to the President, CEO, CTO and other key executives. Expertly manage day-to-day scheduling, coordination, and complex meeting and travel logistics.
  • Pro-actively ensure executives are well prepared for meetings (internal or external), events, travel, etc. Partner with executives to develop effective routines and communication around agendas, itineraries, reservations, etc.
  • Screen incoming emails and call requests, prioritize items for follow-up, and correspond with key constituents (both internal and external).
  • Perform administrative tasks including: complex calendar management for internal and external meetings, engagements and conferences. Manage all travel arrangements and expense reports.
  • Field and manage a high volume of inquiries and interact with high level business leaders in a professional and effective manner. Act as a reliable point of contact between Transfix and external clients, vendors, investors, partners and potential candidates.
  • Help research, prepare and distribute correspondence, reports, presentations or other documents as requested
  • Coordinate and drive special projects, e.g. project manage logistics for team off-sites, moves, etc.
  • Build cross-functional relationships with key partners within and across departments
  • Ensure a top tier experience for all visitors, candidates, clients, etc.

About you:

  • You have a Bachelor’s Degree and a minimum of 6+ years EA experience supporting C-Level Executives at scaled organizations (minimum 200 employees). Significant experience supporting a CEO/President in a high pace, dynamic environment is strongly preferred.
  • You are a self-starter who is curious, energetic and can adapt quickly
  • You are flexible, and exhibit expert personal time management to balance a role that requires occasional evening, early morning, and weekend availability.
  • You are problem-solver who proactively anticipates interdependencies and seeks to improve processes and experiences to be most efficient
  • You seek information and answers proactively when you perceive there to be a need, even when there is limited information available.
  • You are organized and understand that the details matter in designing the best experiences for internal and external parties
  • You possess the ability to constantly multitask and prioritize across various initiatives and stakeholders
  • You have a strong sense of urgency and commit to deadlines
  • You possess strong written and verbal communication skills
  • You demonstrate a high level of integrity and professionalism, and consistently exercise sound judgment
  • You are trusted and possess a high level of discretion and confidentiality
  • You are a team player and collaborate well with others
  • You are highly skilled in tools such as G-Suite, MS-Office, Slack and project management tools.
