We are looking for a talented, highly motivated and proactive Executive Assistant to work with our legal team in our New York office. The successful candidate will support our SVP & General Counsel. A positive attitude, flawless execution and an enthusiasm for making a difference are key desirable attributes.
Some Challenges You’ll Tackle
- Process subpoenas, levies and liens
- Structure and organize the activities and calendars of the legal team to facilitate the efficient
operation of the department, and arrange travel, business meetings and attendance at
conferences and other related events and activities (including submission of related expense
reports). - Monitor trademark watch list and prepare cease and desist letters
- Assist with preparation of board materials; maintain minute books
- Assist with stock administration
- Provide assistance with travel and scheduling for general counsel
- Answer telephones, responsible for executives’ calendars and all travel arrangements., ensuring that all outside individuals are entered into the visitor registration system, booking conference rooms and clearing conflicts when they occur.
- Prepare contract summaries
- Draft, summarize and/or proof general correspondence
- Handle confidential and non-routine information with absolute discretion
- Process incoming and outgoing mail and packages; deliver outgoing mail to the post office
You Should Have
- Bachelor’s degree required
- At least 2 year's of experience in an office/legal enviornment, preferably within a corporate in-house legal department
- Proficient in MS Office and excel
- Excellent oral and written communication skills, attention to detail and a positive attitude are a must
- The ideal candidate will have the ability to work in a fast-paced environment, prioritize and meet deadlines (i.e. taking the initiative to solve a problem)
- Strong client focus, excellent listening skills and attention to detail
- Ability to be flexible and open-minded
- Ability to work effectively with people at all levels
- A team oriented, self-motivated indivudal with strong organizatinal skills and ability to manage priorites and handle multiple tasks with frequent, tight deadlines
