The firm is seeking an Executive Assistant to support the President and C-suite executives on a wide range of administrative and business-related tasks. The ideal candidates for this role will be smart, detail-oriented, organized, and self-motivated. Given the role’s nature and exposure, the ideal candidate also will have refined interpersonal skills, gravitas, and trustworthiness. Additional responsibilities include project management of cross-departmental initiatives and projects within the Operations team.
Primary Objectives
- Coordinate and maintain the President’s calendar and effectively manage all scheduled activities (including business meetings, personal appointments and outside board commitments)
- Strategically manage the President’s time with respect to the organization’s priorities, goals and objectives; this includes understanding important initiatives and managing calendars accordingly
- Assist with management and outreach of President’s network using Salesforce
- Organize and coordinate travel itineraries, prepare expense reports, answer phones
- Draft, edit, and review correspondence and presentation materials
- Proactively bring together appropriate team members and resources to support the growth of the business
- Work independently, as well as with other departments, on various projects
- Provide administrative support as necessary; act as Office Manager backup when needed
- Additional responsibilities to be determined based on capacity, skill, and interest
Qualifications
- Bachelor’s degree required
- 2 – 4 years of experience
- Ability to independently execute instructions with great attention to detail and consistently high-quality work product
- Highly refined communications, writing skills, and email etiquette
- Linear, logical thinking, and ability to resolved complex issues into manageable components
- Fast learner and self-motivated
- Strong organizational, multitasking, and time management skills
- Self-confident, seeks opportunities to assist teammates
- High emotional intelligence
- Advanced working knowledge of Microsoft Office
