Currently we are looking for a high performing executive assistant to support multiple senior level executives. The ideal candidate will have a track record of managing high volume schedules in a fast paced environment while simultaneously prioritizing other tasks in a supportive role to busy senior level leaders.

Responsibilties

  • Act as the point of contact for the assigned executives, and provide administrative support including calendar logistics, external event coordination (confirming exec and any other departmental attendees, RSVPs, calendaring), managing professional interactions, communications, and Board meeting deliverables.
  • Manage multiple calendars to accommodate shifting priorities and ensure all parties are treated with courtesy and professionalism.
  • Create and maintain daily schedules, manage incoming requests, organize travel bookings and itineraries, as well as process expense reports.
  • Liaise cooperatively and professionally with all levels of the organization including the employee staff and outside professional contacts.
  • Flex into different responsibilities with ease, from working with high level professionals as a point of contact to facilitating and greeting at events.
  • Compose and prepare various correspondences, typically in fast-paced situations and under tight deadlines. 
  • Take minutes of meetings as required.
  • Support office facilities needs as required, such as event planning and organization.
  • Be proactive in anticipating the needs of the executives and internal/external clients.
  • Help plan and coordinate various company and/or department level events.
  • Align with assigned executives on priorities and goals and help them achieve their goals on a quarterly/yearly basis.
  • Work closely with the Executive Operations team to ensure alignment and executive success.

Requirements

  • Ideal candidate will be a detail-oriented multi-tasker who is always professional, customer service oriented and welcoming in a fast‐paced environment. This individual must be aligned to the dimensions of the function as no job is too big or too small.
  • Highly communicative interpersonal skills both written and verbal.
  • Superior organizational abilities that are efficiency and deadline oriented.
  • Ability to multitask, execute tasks autonomously when necessary and prioritize assignments.
  • Ability to handle confidential and sensitive information with professionalism and discretion. Build and maintain trust in sensitive situations. 
  • Flexible, organized, self-starter, and extremely detail-oriented – able to seek out answers and resources on own. 
  • Proficient in Google Office, Word, Excel and PowerPoint is required.
  • Experience using Slack, Zoom and Lattice is a plus.
  • Graduate of an accredited University.
  • 5 years of experience working as an executive assistant for multiple stakeholders
