About the Role:

We are seeking a highly motivated Executive Assistant with administrative experience that can provide high-level executive assistance to the Chief Executive Officer. 



Job responsibilities include but aren’t limited to:

  • Provide full administrative and personal support to the CEO and be an overall gatekeeper
  • Maintain and monitor daily calendars with reminders of scheduled appointments, prioritizing the most sensitive matters
  • Coordinate travel and trip itineraries (when travel resumes); additionally coordinate events, Board & Management Team meetings and matters requiring immediate attention
  • Maintain and update google calendar and contacts 
  • Screen BOD requests and respond to routine and moderately complex inquiries
  • Prepare internal correspondence and announcements to be sent to BOD
  • Coordinate agendas, dispatch meeting invitations to attendees, book virtual locations
  • Assist with special and confidential company projects and initiatives 
  • Collaborate with the People & Culture team to schedule interviews as needed 
  • Process and reconcile monthly expense and reimbursement reports 
  • Lead and participate in planning, coordinating and implementing milestone events and recognition programs in conjunction with the People & Culture Team 
  • Source vendor and employee recognition gifts as needed
  • Schedule and attend meetings on behalf of CEO, taking notes and recording minutes
  • Receive incoming communication/ requests on behalf of CEO, review content, determine importance, and summarize and/or distribute content accordingly
  • Organize files and create reports and presentations as needed



Job requirements:

  • 4+ years’ experience as an Executive Assistant supporting C-level executives
  • Minimum 8+ years overall professional experience
  • Bachelor’s Degree required
  • Proficiency with Google Suite

  • You work intelligently and ensure that the management team is aware of problems or issues which negatively affect productivity 
  • You build excellent relations with team through positive communications
  • You can ensure knowledge is shared appropriately
