Headquartered in the Financial District of Manhattan, Bodhala tripled its headcount last year and is positioned for continued fast-paced growth through 2020, with locations across the United States and in Europe.

 

Reporting directly to the CEO, and working closely with the entire executive team,  this role will be critical to the continued exponential growth of the company. Serving as the gatekeeper of the CEO’s office, continually monitoring the flow of information going in and out of the CEO’s office and making sure that strategic projects and policies are followed up and completed in a timely manner ensuring high-quality delivery.

Responsibilities

  • Manage the CEO’s daily calendar & travel schedules and making sure meeting requests are thoroughly followed-up

  • Oversees and follows-up with staff on the timely and quality execution of planned activities related to strategic projects and decisions taken by the CEO

  • Manage and coordinate events, meetings and conference calls as required by the CEO’s office ensuring preparation of agenda, attendance lists, manuals, and other relevant briefing materials.

  • Complete monthly expense reconciliation for the CEO’s corporate credit card and out-of-pocket expenses.

  • Communicates messages in writing as well as in-person from the CEO’s office to both internal staff and external high-level officials and business executives – This includes but is not limited to e-mails, written correspondence, invitations, statements, memos, executive summaries, policy documents, minutes, PowerPoint presentations, reports, speeches, etc.

  • Provide general administrative support to the CEO in order to increase his availability for executive level responsibilities.

 

Goals

First 30 Days

  • Get to know the CEO, establish a healthy working relationship, and understand his business needs through informational interviews with him and members across the organization

  • Set individual KPIs for the next 6 months

  • Familiarize yourself with the current team and operational side of the organization

 

First 60-90 Days

  • Create documented procedures and systems for continuous improvement of the office of the CEO and the enterprise overall

 

Qualifications

  • Candidate should possess a bachelor’s degree or equivalent experience.

  • 2-3+ years of administrative experience supporting senior-level professionals ideal.

  • Excellent analytical, presentation, communication, note-taking, and leadership skills.

  • Demonstrated knowledge and proficiency of information systems and the supporting infrastructure of computers, data sources and desktop software.

  • Must be a highly organized self-starter with a willingness to work long hours in a fast-paced and rapidly changing environment.

  • Organizational skills, attention to detail, problem-solving skills are critical. This is not a position for someone lacking extreme attention to detail.

  • Excellent verbal and written communication skills.

  • Ability to resolve conflict and manage ever-changing schedules.

  • Ability to travel as needed.
