The Personal Assistant will serve as an essential partner to our CTO/COO, Ryan Hubbard. This position is the dream job for someone who has what it takes to meet the challenges of supporting an executive at one of New York City’s fastest growing startups.

We expect at least 60% of this person’s time to be allocated to assisting Ryan with his personal life (scheduling appointments, running errands, home-related tasks, and managing a comprehensive diet) with the remainder of the time spent providing support related to Ryan’s responsibilities at Updater. This PA will be an integral member of the Updater team.

  • You know how to exercise extraordinary judgment and discretion. You’re adaptable to changing environments, shifting priorities, and different personalities, and are extremely passionate about helping grow a business!

What You'll Be Doing

  • Provide comprehensive research on various topics, including travel and vacation options, apartments and decor, gifting, and many other ad-hoc topics.
  • Manage personal wellness: schedule regular appointments, liaise with food vendors, research health-related topics, and communicate with insurance and providers.
  • Be the gatekeeper to Ryan’s Google Calendar, expertly managing day-to-day scheduling, coordination, and meeting logistics.
  • Screen incoming emails and call requests, prioritize items for follow-up, and correspond with key constituents (both internal and external).
  • Ensure Ryan is always more than prepared for all travel, events, meetings, etc. Create agendas, draft one-pagers, manage itineraries, make reservations, print material, and do whatever it takes to ensure thorough preparation.

What We Expect From You

  • A minimum of 3+ years of personal and executive administrative support, preferably within a high growth company.
  • Proficiency with Google suite of products (docs, sheets, slides) and overall tech savviness.
  • A BA or BS degree.
  • A strong desire to support a C-level exec at a growing company, and be their right (or left) hand (or brain, or whatever)
