We are looking for an energetic, results-driven, organized, and friendly office and facilities supervisor to help make our Flowcode office NYC's most productive and fun place to work. The Flowcode team works out of a converted garage in Soho, which makes it one of the most unique offices in the city. Since our founding, we've turned an empty garage into a zone for high-output, high-performance, high-energy work. But there is still a lot of room for improving the space and helping maximize the productivity of our team! As the Facilities, Events & Office Supervisor, you will be responsible for the oversight of the entire space for both day-to-day and special events.
Your responsibilities will include:

  • Serving as the first friendly face and point of contact for the office, greeting guests and working with the broader Flowcode team provide a pleasant in-office experience
  • Proactively developing ideas to improve the space and the in-office experience overall, from improving the space planning and conference room design to organizing fun catered lunches to trouble shooting problems as they arise
  • Maintain friendly and consistent contact with the building manager/contractor to ensure facilities and systems such as HVAC are functioning properly
  • Helping with set up for large team meetings, video conferencing, and events, including coordinating needs with our CEO and leadership teams, troubleshooting Zoom conferencing and audio; and prepping conference rooms with water, pads, and other supplies.
  • Managing outside vendors and services such as WiFi, Cable, and Security systems. You are hyper organized and have a clear system for maintaining important files and documentation, such as warranties, service agreements, contracts, and more.
  • Ordering, tracking, receiving and organizing equipment and supplies such as cleaning and office supplies, snacks, and other business-related packages. We do not have a doorman or front desk, so you will be responsible for coordinating deliveries for normal business hours and accepting these deliveries. Knowledge of different supply vendors/suppliers is a plus!
  • Monitoring and coordinating with the cleaning service and assisting with small tidying tasks throughout the day to ensure orderly and sanitized work environment. We also host team events as well as outside guests, so coordinating and overseeing services off hours is necessary on an ad hoc basis.
  • Accepting and sorting mail, alerting recipients and storing in safe, secure place until pick-up.
  • Providing organized, well-stock office amenities such as snacks, drinks, coffee, and more.
  • Providing oversight of team bonding events, including ordering catering, assisting vendors with set-up and breakdown, ensuring security (office is closed, locked).

  • Strong communication skills, especially verbal! A positive attitude and welcoming demeanor is essential for welcoming guests, greeting visitors, and establishing and maintaining relationships with vendors.
  • Hardworking and get-it-done mentality, no job is too big or too small for you to solve and tackle!
  • Exceptional organization skills, attention to detail, and follow-through. You must be a master of your craft and anticipate needs before they arise.
  • Basic knowledge of (or ability to quickly learn) office equipment and tools, such as WiFi, Printing, Zoom, video-conferencing, and sound systems.
  • Basic understanding of or ability to quickly learn the equipment and facilities to be maintained, such as HVAC and security systems.
  • Desire to go the extra mile. You love to keep things organized, have a high level of service, and take joy in helping shape small moments of surprise and delight (such as trying new snacks!) for your team.
  • Self-starter attitude and a high level of accountability.
  • Familiarity with or ability to learn Google suite.

We're based in the heart of Soho, where there is no shortage of creativity. From galleries to boutiques, trendy bars to some of the best restaurants in the city, our office fits right in. We are located in an industrial garage, converted from a metalworks factory into a collaborative work space.
