We are seeking an experienced Facilities Manager to join our growing team here in New York City. This role is fundamental to ensuring that all operational aspects of our cool and fast-growing HQ are running smoothly. In tandem with the People team, you will be a cultural promoter and conductor that is responsible for creating and maintaining an environment where our employees love to work as well as be a welcoming face to visitors to our space.

 

This role sits on our People team and will work across all teams within our organization. We know that no two days are the same, and we actively plan for and respond to anything that’s thrown our way. If you’re someone who can find order in chaos, and thrive when faced with new and interesting problems, you may flourish in this role. With infectiously positive attitudes, we strive to make everything run seamlessly on a daily basis by knocking out numerous projects fast.

Responsibilities

Reception:

  • Be the face of our NYC headquarters!
  • Greet, welcome and direct guests warmly and professionally, ensuring their first experience at Bluecore is memorable
  • Accept, gather, sort and deliver all mail and packages that comes in
  • Ensure all new hires are ready to go on their first day with a clean desk, swag and trainings
  • Help keep our space neat and tidy and operating properly. Ensure cleaning service is being effective and comprehensive
  • Stock supplies for the office and meeting rooms periodically

 

Facilities/Project Management

  • Bluecore provides catered lunch every.single.day, This role must plan the year, keep track of costs and spending, coordinate with our caterers for best pricing, selection and help set up/breakdown
  • Ensure the office is in great condition
  • Help plan, support, and execute office events and external conferences
  • Order and track office supplies and office food (lunches, snacks, beverages) based on budget allowance
  • Manage the execution of all operational aspects of our office and remote locations: real estate projects, kitchen, maintenance, shipping, space planning, etc
  • Establish and improve vendor relations (food, janitorial, office supplies, etc.), with a bias towards cost management
  • Liaise with property managers and subcontractors to ensure timely completion of building and space issues
  • Identify office inefficiencies and create processes and solutions built to scale
  • Support any office projects/relocations
  • Take accountability for the experience of the employee in the organization

 

Culture Promotion

  • Think creatively and proactively to improve and build on our fun office culture
  • Promoting engagement and attendance in office functions like Trivia Night, Movie Night, Board game night and office happy hours
  • Manage all interdepartmental functions on and offsite
  • Manage all logistics with organizing and scheduling Bluecore University both onsite and off
  • Assist with ad-hoc projects and other office duties such as Bluecore Community Month and other monthly office events.

 

 

 

Requirements

  • 4+ years of experience in a highly customer focused/facing function, pervious organizational management experience a plus.
  • Extremely professional communication style both verbal and written
  • Very dedicated, flexible and confidential
  • Positive outgoing personality and able to communicate nicely under stress. Very empathetic as well as extremely friendly and welcoming. Comfortable saying no in a positive way without alienating others
  • High level of patience and can maintain a positive attitude even when you’re interrupted a lot
  • Ability to creatively and efficiently execute against several competing tasks and projects. Focus on effective teamwork with the capability to thrive in an autonomous environment
  • Very level-headed and able to handle stressful situations in a calm and thoughtful manner
  • Comprehensive organizational and multitasking skills
  • Previous experience in a tech company or startup that has relocated is a differentiator
