WHAT YOU'LL BE DOING

  • While reporting directly to Haven Technologies CEO and CTO, manage and improve processes for a growing and maturing organization across facilities, finances and budgeting, and internal meeting management.
  • Facilities management, including:
    • Management of office managers and other facilities and administrative personnel.
    • Coordination of suppliers and vendors needed to run the offices.
    • Responsible for smooth operations of all office locations to meet the day-to-day needs of the entire team.
    • Responsible for facilities-related onboarding of new team members - hardware setup, badges, etc.
    • Continued space management including ensuring security and safety standards are met and maintained.
    • Strategic planning for and acquisition of new office space to meet the needs of a growing team, including working with home office Real Estate department, external vendors and landlords, and others.
    • Owning facilities-related business continuity efforts.
  • Finance and expense management, including:
    • Establishing budgeting and financial operational processes across various teams, cost centers, and departments.
    • Large and strategic vendor contract negotiations and financial management.
    • Standardizing, centralizing, and governing all financial processes (expense management, capitalization, project-code creation, etc.) in partnership with team leads.
    • Communicating and coordinating processes with various stakeholders at home office related to expenses and budgets to ensure alignment.
  • Internal meeting and KPI management:
    • Working with the analytics and portfolio management of the organization, own and establish standard dashboard reporting and associated tracking for the senior leadership team and broader team reporting.
    • Participate in regular OKR and other leadership meetings and own the improvement of these, the way they function, and the dissemination of information from these.
  • Other:
    • Be a leader of change and constant improvement.
    • Work on strategic projects related to product/policy design or other as needed and directed by CEO or CTO.


REQUIREMENTS

  • Experience influencing, collaborating and leading in a heavily matrixed environment. 
  • Demonstrated commitment to talent development, building strong, diverse teams
  • Innovative problem solver and strategic thinker, strong business acumen and analytical capabilities 
  • Strong Executive leadership skills; collaborative partner able to influence and drive accountability across organizational and domain boundaries
  • Proven ability to promote ideas and proposals persuasively, shape stakeholders opinions, project a positive image, work through conflicts and negotiate win/win solutions at senior and executive levels
  • Proven experience developing and improving existing processes with desire to influence change
  • Proven experience working in a technology-driven environment
  • Excellent communication, presentation, influencing and reasoning skills
  • Experience working with contracts, vendors and suppliers a must
  • Experience in insurance industry
  • Bachelors’ Degree or equivalent work experience; JD or MBA preferred.

We're located on Park Ave just south of Grand Central, a few short blocks to the Empire State Building and very close to a stone throw away from Korea town.
