The Opportunity:

The Leadership Team Assistant is a critical position vital to the smooth functioning of Shutterstock’s executives. The right candidate will be an expert problem solver, highly organized, and be equipped with outstanding presentation skills on day one. The Leadership Team Assistant is responsible for managing multiple calendars, executive travel, and assisting in meeting prep. As the position will require working closely with leadership, the successful candidate will demonstrate a high level of professionalism and confidentiality as a matter of course.

 

Responsibilities:

  • Provide support for the Leadership Team and serve as the primary point of contact for all daily administrative needs
  • Manage the team’s busy and ever-changing calendars including sending out meeting requests and arranging conference calls for the team across multiple time zones
  • Thoroughly and efficiently prepare Executives for meetings with any requests they have -- presentation set-up, refreshments, office supplies, etc.
  • Handle all duties with a high degree of integrity, professionalism, and confidentiality.
  • Prioritize and manage multiple projects simultaneously in a timely manner
  • Assist in arrangement of domestic and international travel within the policy guidelines; track logistics during trips.
  • Provide support for corporate initiatives or special projects as assigned
  • Assist and plan all team outings and meet-ups which may require working after office hours
  • Provide coordination for global office events
  • Assist with coverage for other assistants while on vacation.

Requirements:

  • Education: BA/BS
  • 2+ years experience supporting at the executive level
  • Experience managing multiple schedules, projects, and facilitating travel
  • Superb written and verbal communication skills
  • Proficient in MS Office, including Word, Excel, PowerPoint and Gmail
