Leave Administration Manager
THE ROLE:
Peloton’s Leave Administration Manager maintains, administers, and manages Peloton’s US & CAN leave of absence administration processes (including but not limited to: FMLA, short-term disability and long-term disability) and worker’s compensation program. The Manager ensures compliance with all state and federal laws, and supports business managers and employees relative to benefits offerings and leave of absences.
This role is on our Shared Services team and works closely with the entire People Team. This role reports to the Senior Director of Shared Services, and is based in our NYC HQ.
IN THIS ROLE, YOU WILL:
- Serve as internal subject matter expert for all aspects of Leave of Absence (LOA) and Worker’s compensation policies, practices, and processes and increase efficiencies and scalability relative to LOA and WC.
- Act as a resource to educate People team, Peloton management, and team members on LOA policies, procedures, and federal and state requirements; as well as to aid in team members’ understanding of benefits offered and eligibility requirements through individual and group meetings or training sessions
- Communicate with employees regarding their needs for leave and/or modified work schedules and engage with employees to support and facilitate their return to work and formulate recommendations regarding continued leave as a reasonable accommodation.
- Analyze, review, update and/or develop LOA related policies and related forms, documents, or communications, as appropriate; administers implementation, coordination and roll out of said policies
- Recommend revisions and suggestions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
- Evaluate and administer legal and regulatory changes and formulate recommendations for policy, practice, or process changes, as appropriate
- Monitor and track critical dates in the leave cycle and communicate with employee and manager as appropriate
- Analyze and administer root cause analysis for recurrent or egregious issues and pain points (system abuse, intermittent leaves) and partner with People Business Partners to address employee issues and recommend and influence implementation of process, communications, and/or programming modifications where such changes may also alleviate the issue
- Ensure accurate leave information is updated in the HRIS database and audits reports to ensure the system is accurate and up-to-date
- Review monthly and quarterly reports and makes recommendations to immediate manager on improving LOA processing and practices and provides expertise and education to People Team regarding reports as necessary; Recommends refinements and or additional reporting as needed
- Assume a leadership role within the Shared Services team to support consistent delivery of high-level service and appropriate application of policies.
- Handle long-term continuous and complex leaves and engage in an interactive dialogue.
- Collaborate with payroll and vendors on administration, reporting and analysis
- Conduct ad hoc analysis and reporting and other duties as required
- Manage a team to help support the day to day processes for leave of absence and worker’s compensation
IDEAL CANDIDATES WILL HAVE:
- A minimum of 6+ years of relevant Leave Administration and Worker’s Compensation experience
- Working knowledge of leave related laws and regulatory requirements
- Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
- Must be organized and self-sufficient with the ability to manage multiple high priorities in a fast-paced environment
- Highly effective verbal and written communication skills to collaborate, develop partnerships and instill trust of vendors, managers, and employees
- Must maintain confidentiality of any personal data and protect employee medical information in accordance with HIPAA regulations
- Highly adaptable and solution-oriented; able to thrive amidst uncertainty and shifting priorities
- Experience in a high-growth company at a top, employer of choice a plus
- Excellent time management skills
