ABOUT THE ROLE
We are seeking an enthusiastic and high-performing Office Experience Coordinator to oversee our New York office operations. This is a full-time role, reporting to the Manager of Office Experience, and working as an integral member of the People Team. This role serves as the backbone of our office, helping our team achieve operational excellence.
We are looking for a proactive problem-solver who can thrive in a fast paced, collaborative environment. You have a good eye, and care about the details, big and small. Your prioritization, time management, and follow through is top notch. No matter how big or small, you are excited to solve the problem that comes to you. You take the extra step to find great solutions, lead by example, get stuff done in a flash, and you have fun along the way.
WHAT YOU'LL DO
- Ensure that office supplies are maintained and fully stocked; manage weekly grocery delivery and restock kitchen snacks. Order and maintain inventory for kitchen snacks and office supplies.
- Manage the use & organization of all shared office resources (conference rooms, breakout rooms, call rooms, open spaces, kitchen, etc.)
- Support planning for internal and external office events (including company wide lunches, events & club initiatives) as well as client meetings, including securing catering and providing A/V support
- Partner closely with our IT dept. to make sure every employee has the tech they need
- Coordinate and implement ongoing space initiatives
- Serve as point of contact for all vendors and building personnel (i.e. HVAC, cleaning crew, security, super, handymen)
- Create and document processes for all of the above responsibilities, so that others know what to expect and how to help.
- Provide light bookkeeping support including, but not limited to, supporting monthly office budget management and assisting in completion of monthly team credit card reconciliation
- Other operational tasks as needed
ABOUT YOU
- You have 1+ years experience in events, office management, retail, hospitality, customer service, facilities (dealing with people, managing projects)
- You are extremely detail oriented, organized and efficient
- You are personable, friendly, approachable
- You are customer service oriented
- You are ambitious, eager, and a proactive self-starter
- You are comfortable wearing many hats
- You must be able to lift 30+ pounds
BONUS POINTS
- Capacity to work with all teams, including sales, marketing, business development, product management engineering and upper management
- Proficiency with Microsoft Office and Google Docs
- Experience dealing with a customer base over 100 people
- Experience with startups a plus!
