As the Workplace Coordinator at Skillshare, you’ll own the day-to-day operations of the office and ensure that employees (current & future!) are set up for success in our physical space. In addition, you’ll support our CEO and save him from himself when it comes to booking travel, coordinating a smooth board meeting, or installing A/V equipment (almost half of it still works). The days won't always be glamorous, but we promise you'll never be bored -- we pride ourselves on being scrappy and getting things done. Our goal is to make Skillshare one of the greatest places to work, and with your help, we’ll ensure Skillshare is poised to scale and grow in the coming years.

This role will give you exposure to the exciting world of a fast-paced startup across workplace operations and executive assistant responsibilities. You’ll be more than just an extra pair of hands – the lift you give our CEO team impacts our entire company, and with your help, we’ll ensure Skillshare’s office operations are poised to scale and grow in the coming years.

What you'll do:

  • Office / facilities operations: Oversee day-to-day maintenance of the office so everyone can operate at full-speed. Manage catered lunches, weekly groceries, office supplies, and vendors, including building, cleaning, and IT services. If the dishwasher breaks, you know who to call and how to get it fixed in no time.
  • Help build a vibrant company culture: Prep for team-wide meetings, welcome new hires with equipment and swag, and coordinate internal events/happy hours. You’ll ensure we are celebrating the milestones – anniversaries, birthdays, life events, and major team wins!
  • Go-to person for admin support & requests: Act as the point of contact on time-sensitive requests, oversee communication with remote employees regarding travel and visits to the HQ, and maintain the integrity of internal tools/systems.
  • Support the CEO (primarily) and exec team (as needed): You’ll handle calendar management and scheduling, booking travel, prep and set up for important in-office meetings, and manage resulting action items/documents from executive team projects.
  • Support our recruitment efforts: Help schedule select candidate interviews and ensure our job postings are up to date on external profiles.

Why we're excited about you:

  • You’re a self-starter and problem-solver who is willing to roll up your sleeves and get scrappy. You are resourceful and overcome obstacles in creative ways.
  • You are a professional. You are going to work directly with a wide range of CEOs, board members, investors, execs, and press, and will always be a shining example of what Skillshare stands for.
  • You are productive. You get more done in a day than the average person does in a week, and you do it by working hard AND smart.
  • You have an eagle eye for details, a knack for organization, and talent for just getting it done (and done well!).
  • You are a people person. You possess a warm, welcoming personality and are excited to act as the face of the organization internally. Our team doesn’t take itself too seriously, and neither do you.

Why you're excited about us:

  • Impact: If you can streamline our office operations and make our executive team more efficient, there will be few people in the office who deliver more value to the business.
  • Growth: Your impact and ownership will grow as the company grows. You’ll play a key role in a business that is scaling rapidly and making a global impact.
  • Our team: We have a passionate, talented team that is a lot of fun to work with.
  • Our mission: We’re doing work that matters – connecting lifelong learners around the world and empowering them to pursue their creativity.
  • Flexibility: We believe that doing your best work means living a full life. That means different things for everyone, so we optimize for trust, invest to support remote teams, have an unlimited vacation policy (with a required minimum!), and encourage work-life balance.
