ABOUT THIS ROLE: 

Haven Technologies is seeking an Office Manager to join our growing NYC team. As part of our Admin Operations team, and an integral part of our company, you will build community and foster a work environment that is the model of efficiency and effectiveness. You will partner with key stakeholders across the company and external vendors to implement well-organized and coordinated processes and procedures, with the goal of reducing day-to-day friction for fellow Haven employees. Successful candidates will be exceedingly well-organized, reliable, friendly, and flexible. We are also looking for candidates who will enjoy tackling the challenges that come with working in a fast-growing organization. This role will require you to work full-time on-site in our NYC office.

Haven Technologies requires that the successful candidate hired for this position be fully-vaccinated for COVID-19, absent being granted an accommodation due to medical, pregnancy, or sincerely held religious belief or other legally required exemption.

WHAT YOU’LL DO: 

  • Field incoming requests, greet and screen guests, and serve as overall point of contact for all things office and building related for employees in our NYC office
  • Manage relationships with vendors, service providers, and landlord to ensure that office items are in working order
  • Manage day-to-day office needs by maintaining inventory and ensuring that supplies, snacks, and equipment are available for daily use
  • Partner with the Admin Ops team to streamline, improve, and execute office operations and procedures for 3 floors, serving roughly 300+ employees
  • Coordinate maintenance requests and handle shipping and mailing packages with the courier service
  • Assist with the coordination and execution of in-office events and meetings
  • Complete ad-hoc errands in and out of our physical office space
  • Help us move to our brand-new, custom built, 2-floor, 100,000 square foot, NYC office around the corner

REQUIREMENTS: 

  • 2+ years experience working in a hospitality/customer-facing and/or administrative capacity
  • Ability to work full-time in-person in our NYC office
  • Good working knowledge of office equipment and procedures including computers, printers, video conferencing systems, AV, etc
  • Demonstrated success with time management and ability to multitask and prioritize work
  • Proven track record of over-achievement
  • Strong interpersonal skills and ability to collaborate cross-functionally and partner with employees in various roles
  • Strong attention to detail and problem solving
  • Excellent written and verbal communication skills
  • Qualified applicants must be authorized to work in the US for any employer without requiring sponsorship now or in the future
  • BS/BA degree preferred
