As our Office Manager, you'll be responsible for creating a well-organized and coordinated office environment that represents the Reonomy brand and culture. They will help evolve and create office management procedures that ensure effectiveness, efficiency and compliance. The Office Manager will look for ways to add value across teams through exceptional execution of projects and partnership in cultural initiatives.

Additionally the role will be responsible for providing back up administrative support to the CEO ensuring all scheduling, logistics and requests are handled with great attention and care. The Office Manager will be key in building and maintaining a strong team culture, providing back up support to the Administrative Receptionist, and coverage for Finance and Ops on occasion.

Responsibilities include:

  • Manage schedule for CEO including: booking internal and external meetings, travel, dinner reservations, act as external stakeholder touchpoint, as well as other EA support
  • Help leadership team with complex external meeting scheduling and logistics
  • Maintain calendars for company-wide meetings, events, whereabouts & birthdays
  • Assist with company marketing & client events, team events, and parties
  • Partner with HR & Finance to maintain office policies as necessary
  • Maintenance of team roster, floor plan, internal phone list and emergency contact spreadsheet
  • Onboarding and off-boarding operational tasks
  • Point person for routine tech issues, escalate to operations managers when needed
  • Manage maintenance of office tech equipment including asset management tracking
  • Office Vendor Relationship & Management including ensuring all pantry areas are well stocked and clean
  • Partner with Administrative Receptionist to ensure the office space is always client ready, well equipped and maintained and all guests/callers receive a professional and positive experience with Reonomy
  • Ad hoc projects

ABOUT YOU:

  • 2-3+ years experience in Office Management
  • Executive Assistant background a plus
  • Able to organize, manage time, communicate & work across numerous projects simultaneously while maintaining a strong attention to detail
  • A ‘can do’ attitude & fearless mindset to take on no task too large or small
  • A true professional and trusted resource, upholding discretion and integrity at all times
