WHO WE ARE LOOKING FOR:

The Trade Desk is seeking an Office Manager to join our team in New York City. This position will be a strong Cultural Ambassador for the business and office, and will be responsible for coordinating and managing day-to-day office operations while helping create “best in class” workplace experience. The ideal candidate will bring a hospitality, customer centric approach and be experienced in handling a wide range of administrative related tasks and must be able to work independently as well as part of a growing team. This person must have good organizational and problem-solving skills, manage multiple projects in a fast-paced environment, have strong written and verbal communication skills, be professional, collaborative, courteous, reliable, and provide excellent customer service. An upbeat, positive attitude is a must in this role, as they interact with employees at all levels of the organization, guests, and vendors.

WHAT YOU WILL BE DOING:

  • Proactively manage office operations and administration, act as the single point of contact for the office staff with a strong focus on overall employee and guest experience
  • Coordinate the new hire onboarding process in close collaboration with senior office staff, HR, IT, and Real Estate teams
  • Manage the office seating plan, coordinate changes with office staff, and keep internal systems updated
  • Oversee office reception, meet and greet visitors, guests, clients, or candidates upon arrival
  • Assist visitors and guests with general support to ensure a consistent and positive experience
  • Manage the ordering, coordination and setup of lunches for the office staff and for special meetings when necessary
  • Manage the kitchen pantry program to ensure regular delivery of snacks, beverages, coffee, and water while maintaining budget controls and a high level of vendor service, quality, and delivery
  • Manage office events by collaborating with stakeholders to organize, plan, budget, set-up, and coordinate outside vendors
  • Plan regular morale events, happy hours, and holiday parties in conjunction with Social Committee
  • Implement Social Responsibility Programs – Walks, Drives, Coats for Kids, etc. throughout the year
  • Coordinate and communicate with building management and service providers to ensure efficient operation of the building, schedule maintenance and regular upkeep of office furniture, appliances, and equipment
  • Inventory management general office supplies
  • Manage vendor & service provider contracts and relationships
  • Ensure timely submittal of all vendor and service invoices to Accounts Payable
  • Manage special projects or tasks as assigned or required
  • Ability to respond after hours for emergencies and able to work outside of designated hours as needed
  • Ensure common areas and general office remain clean and safe; schedule quarterly or semi-annual deep cleaning as necessary
  • Other tasks, duties, or special projects as needed

Desired qualifications:

  • Genuine interest in providing outstanding customer service
  • Previous experience implementing and managing an office a plus
  • Proactive attitude - check in with team early and often, alert the appropriate staff when there’s an issue and always strive to provide outstanding customer service
  • Good trouble shooting and problem-solving skills
  • Upbeat, positive attitude with an attention to detail
  • A creative mind with an ability to suggest improvements

Physical requirements:

  • Ability to lift 50lbs
  • Active duties requiring walking, standing, reaching, bending, and crouching as part of daily activities
