As Billie’s Office Operations Associate, you’ll ensure the Billie headquarters is a welcoming and safe place for our team members and guests! From greeting team members and office dogs to ordering the best snacks in town, to pulling out the label maker, you’ll ensure we have a space that everyone loves to come to. If you have a customer experience mentality, experience in office management, and building community within a space, this role was designed for you!

What you’ll do:

  • Manage the on-site employee and guest experience, ensuring the Billie office is safe, clean, inviting and productive for all 
  • Greet visitors and team members at the front desk, providing a positive and friendly experience 
  • Manage the day-to-day operations and maintenance of the Billie office (distribute mail, packages, coordinate and manage cleaning service vendors)
  • Monitor, source, order, and stock all consumable office and kitchen supplies; printer/copier, mail room, supply closet, Billie products, and food and beverages
  • Establish processes and systems that ensure office organization and presentation is top quality
  • Ensure the office space is compliant with building codes and safety regulations and oversee maintenance, small repairs, and the continued upkeep of the Billie space 
  • Work with internal teams and Founders on any special in-office needs (catering needs, space needs, etc.)
  • Create and update a facilities budget on a quarterly basis

What we’re looking for:

  • 2+ years of office management experience
  • Prior experience working with vendors on office maintenance/facility needs; you know how to effectively work with vendors and building staff to solve problems
  • An ability to proactively identify needs and find workable solutions to challenges
  • Excellent customer service skills; you’re always at “how can I help”
  • An ability to drive organization in an office; you love a good label maker
  • A high attention to detail and a strong bias towards action; nothing gets by you and things get done with a sense of urgency
  • A passion for creating community within a space; you encourage team interaction, bonding and engagement
  • A no task is too small attitude; you love ordering bagels just as much as overseeing office construction
  • A proactive and collaborative approach; you love working with people and people love working with you
