About the team
Our NYC team is made up of highly dedicated Smarties in roles such as Sales, Marketing, Human Resources, Service, and Account Management. Primary responsibilities
As the Office Operations Manager, you’ll be responsible for managing office operations, which includes, but isn’t limited to vendor management, taking full ownership of the day-to-day office operations and ensuring high levels of organizational effectiveness and communication with all Smarties, local and globally based.

Finally, the Office Operations Manager will have the ability to appreciate the diverse needs of the highly motivated team they support and can flex to meet their varying needs
Detailed Responsibilities:
- Partner with the marketing and communications team on the planning and execution of events in the US, as needed
- Assist with planning and coordination trade shows, client/partner events, sourcing and distribution of display materials and marketing materials
- Partner with global PR manager and local PR agency on ad hoc tasks
- Collaborate in the creation and distribution of marketing and PR content using tools like Pardot, Salesforce, etc
- Responsible for the administration and creation of some policies, guidelines, and processes; travel and expense policy, etc for
- Support with the pre/post contractual process; activities could include, obtaining signatures, and uploading into internal systems
- Participation in and / or preparation of conference calls
- Cross-functional partnership with internal teams such as marketing, communications, HR, legal, operations, account management, finance, and support
- Manage schedules and book travel and conferences, as needed
- Maintain office and kitchen supplies; anticipate office needs, evaluate new office products, and place orders when necessary, while adhering to budget
- Ensure operation of office equipment, order maintenance when necessary; troubleshoot malfunction of office equipment
- Manage building maintenance requests (i.e. space planning, janitorial and utilities management, etc.)
- Coordinating team meals - ordering, receiving and setting up team meals on site and making reservations for team meals off site
- Assist, as requested, with the coordination of events and team meetings, interview scheduling, employee on-boarding and off-boarding
About you
Minimum Qualifications
- Fluent in English, proficiency in Spanish and/or French a plus
- Associates degree or Bachelor’s degree required
- Passionate to learn about the digital advertising industry
- Eager to learn while contributing to the success of the US Sales organization
- Problem-solver and multi-tasker who stay cool under pressure
- Excellent interpersonal skills (listening, writing, discussing)
- Entrepreneurial spirit and know-how to identify opportunities for improvement
- Strong analytical, organizational and time management skills
- Able to work effectively across functions/teams, team player
Extra Awesome Skills/Experience
- Previous experience working in a multinational and/or start-up environment
- Experience working with sales and or marketing teams
