Operations at BCGDV

Under the direction of the Business Services Coordinator, the Office Services Assistant is responsible for the overall maintenance of the office, including all services related to building and office space, vendor relationships and coordination of in-house meetings and events.
Responsibilities may vary depending on the individuals supported and the existing workload, and support assignments may change at any time. The duties described below make up a typical, but not necessarily complete, list:
Maintain overall appearance of the office
· Monitor housekeeping for both individual and common spaces
· Check all conference rooms, communal areas, offices and workstations throughout the day to ensure that all work areas are clean and supplies are fully stocked
· Provide outstanding office presentation and customer service to internal and external clients
· Partner with various cohorts and project teams to maintain work space appearance as needed
· Assist with miscellaneous projects to improve office aesthetic and functionality
· Check all printers to make sure they are clean and organized; dispose of any client confidential material that has not been picked up from the previous day
· Coordinate recycling/shredding effort
· Keep office signage up to date
Coordinate office maintenance and repairs
· Oversee the basic functions of the printers, faxes and copy machines by ordering and replacing paper and toner; call for repairs when necessary
· Maintain schedule for cleaning and maintenance of carpets, glass, furniture, office plants, and other areas
· Maintain contact with building services (janitorial, HVAC, electrical and miscellaneous repair)
· Maintain vendor relationships and services ensuring that contact information is organized, services are completed in a timely manner, and invoices are processed to ensure seamless office function
Coordinate mail/package delivery
· Pick-up and sort mail into staff mail folders
· Manage Fed-Ex supplies and relationship
· Maintain postage meter and order supplies when necessary
Oversee office supplies and storage areas
· Ensure appropriate supplies are ordered and supply areas are stocked and organized
· Work with vendors to obtain competitive pricing and discounts
· Manage organization and access to office storage areas
Kitchen coordination
· Maintain office kitchens, including replenishing all kitchen supplies, ordering food/drinks, etc.
· Take weekly inventory of snacks, refreshments, and supplies. Order as necessary
· Responsible for overall cleanliness and organization of office kitchens. Ensure proper maintenance of kitchen equipment and disposal of trash
· Coordinate with barista to ensure that coffee bar is organized, supplies are stocked, and employee needs are met with a high level of customer service.
Conference room and reception duties
· Responsible for overall cleanliness and organization of conference rooms. Ensure adequate supplies are available and stored properly
· Coordinate with meeting organizers and to ensure all meeting needs are met, including catering, furniture arrangement and other set-up needs
· Provide coverage of reception duties as needed. Including but not limited to answering phones, delivering messages, receiving and directing guests, adding visitors to the building security list and booking meeting rooms
· Assist with print and binding requests
Catering
· Manage food orders from outside caterers as needed
· Work with meeting organizers to develop menus for office lunches and internal meetings, receive and set-up meals in conference rooms, clean up after meals and events
· Assist internal staff in planning meals or breaks for case team meetings, training programs and in-house recruiting functions
· Manage catering budgets; forward all bills from caterers to accounts payable for processing; highlight potential savings/overspend
· Research catering companies/restaurants for quality of food, prompt delivery, cost, variety, etc.
· Provide outstanding service. Seek feedback from staff on food quality
· Identify opportunities to decrease food waste and coordinate community donations when possible
Events
· Assist with affiliation events as needed, including annual holiday party, community dinners, off-site meetings, partner-hosted dinners, cohort events, community service projects, internal "celebration" events, etc.
· Associate’s Degree or Bachelor’s Degree preferred
· 1-2 years in an office or customer services environment
· Ability to spend significant time walking and standing
· Ability to lift and deliver large packages
· Ability to work within a budget
· Flexibility to work overtime
· Computer literacy required with strong knowledge of Microsoft Word, Excel, PowerPoint
Strong service orientation and sensitivity in responding to customer needs
Demonstrated strong interpersonal, oral and written communication and facilitation skills
· High degree of flexibility in a demanding, fast-paced and frequently changing environment
Ability to handle difficult situations with poise, understanding and tact
