We are looking for an Operations Associate to support our fellowship training program, internally called Core. You will work with staff to coordinate and operationalize everything from our learning management system, classroom data collection, events execution management, etc. 

But the best part of the job? You’ll work directly with Fellows, often being their first point of contact for inquiries or issues, from acceptance to commencement. 

As an Operations Associate you will: 

  • Reporting to the Director of Core, you will own and manage all administrative processes including org-wide communication and calendar management 
  • Act as first line of response for Fellow inquiries from acceptance through commencement
  • Own and manage all Fellow-facing communication - weekly newsletters, Slack channels, calendars, etc.
  • Serve as point of contact between Core, Community Outreach and external wraparound support programs.
  • Support the operational aspects for all Fellow-focused extracurricular events (e.g. game nights, black history month panel, holiday party, movie night)
  • Track and report Fellow attendance for all Fellow events 
  • Manage admin processes associated with Core Launch and other major cyclical Core events, such as Capstone, Commencement, Hackathons, DemoDay,
  • Field all support requests, escalate as necessary, and manage communication regarding resolution with users
  • Execute Core onboarding with all new staff, including checking in on communication, communicating Core standard operating procedures, and answering first 30 day questions as appropriate
  • Oversee all necessary documentation, including confidential physical documentation 


What you need to be considered for an Operations Associate role: 

  • 1+ years of experience in an administrative, operations type role
  • Creative, proactive approach to problem-solving in a fast-paced technical environment
  • Demonstrated ability to prioritize and manage multiple projects and deadlines
  • Detail orientation: Strong and detail-oriented administrative capabilities
  • Experience serving historically marginalized populations and communicating around sensitive topics
  • Strong experience in owning and managing relationships across a variety of business units and stakeholders
  • High level of proficiency with G-suite, Zoom events, 

Nice to have:

  • Experience in event planning and execution a plus
  • Experience in supporting administrative work at a program or organization-wide level a plus
  • LMS knowledge and experience

Where you’ll work: 

  • Virtually—for now—from your home or our community office space in Long Island City, NYC
  • Because we are One Big Team, we are having conversations on what a return to in-person work schedules would look like and are actively gathering feedback from staff and fellows to determine the best course of action 


When you’ll work: 

  • The Operations Associate will work a non-traditional schedule (exact hours flexible):
    • Monday-Wednesday: 10 am - 6 pm EST
    • Thursday: 1 pm - 9 pm EST
    • Sunday: 10 am - 6 pm EST
    • Some support for different events will result in some adjustments of the schedule on an as-needed basis.
