[Full-time, remote work until team returns to NYC office (COVID-19 permitting)]

A fast-growing, mission-driven NYC-based startup studio and venture investor, backed by a leading global private investment firm, is seeking an Operations Coordinator to join its dynamic team in launching and investing in the next generation of groundbreaking companies. This is a full-time opportunity with significant growth opportunities for top performers. The role will entail supporting the operating team as they transform ideas and discoveries into companies with the potential to change the way we live and work. Once global travel resumes, it will also involve the opportunity to join the operating team on trips to conferences, recruiting events, and fact-finding missions.

Top candidates should have exceptional organizational and communication skills, a strong commitment to detail, and a no-task-too-small approach to work. An ideal candidate will rapidly develop the ability to proactively anticipate the needs of other team members and remove administrative and operational burdens that prevent projects from moving forward.

Responsibilities:

  • Perform an extensive array of administrative, operational, and planning tasks to assure the smooth running of a busy office
  • Track and coordinate day-to-day operational logistics, ensuring all priority items are attended to
  • Manage complex calendars, coordinate meetings, and arrange travel itineraries
  • Oversee management of expenses, purchase orders, invoices, and data/document entry
  • Assist with network and professional relationship development for company leadership 
  • Track action items and priorities for company leadership, ensuring deadlines and follow-ups are met
  • Standardize and document operating processes and procedures, with an eye for identifying and flagging gaps and inefficiencies
  • Maintain internal organizational system for privileged documents and files (updated daily)
  • Direct the organization and execution of special events, such as team offsites, recruiting events, and conferences

 

Requirements:

  • Four-year college degree required 
  • 2+ years of relevant work experience (e.g., operations associate, project coordinator, executive assistant, etc.) in a fast-based, growth-oriented environment
  • Clean and concise written and verbal communications skills
  • Strong organizational skills, extreme attention to detail, and the ability to quickly switch gears 
  • Forward-looking thinker who can anticipate and proactively address business needs
  • Highly resourceful team-player with the ability to function with relative independence
  • Demonstrated ability to coordinate key workflows and meet critical deadlines 
  • Willingness to be responsive after-hours and work across multiple time zones
  • Willingness to engage in work-related travel
  • Robust knowledge of all Microsoft Office, video-conferencing tools, G-Suite, and Adobe applications
  • Ability to work remotely in the near-term with eventual relocation to NYC

Job Type: Full-time, remote work until team returns to NYC office (COVID-19 permitting)

Compensation: $75,000 per year (eligible for annual performance-based bonus)
