We are at a growth inflection point and are looking for an experienced executive project/programs manager to join our growing Operations team. This role will support a range of large-scale, cross-company projects in addition to general day to day operations. 

What this looks like:

As the Business Operations Project Manager, you’ll report directly to the Vice President of Operations and will work closely with company leadership to support ongoing projects and facilitate new initiatives across the company. 

We organize our teams within a matrix structure, with business units (BUs) defined by different revenue centers (e.g. Distributors or Suppliers) and functional areas (FAs) defined by skills/roles (e.g. Engineering or Sales): everyone’s role is defined within a functional area, and most team members focus the majority of their work in one business unit at a time. 

Within this matrix Business Operations often functions as the connective tissue, working on cross-BU or cross-FA projects to drive large scale and long-term company initiatives (think integrating systems and teams post-acquisition, incorporating new functional areas into existing operations, or executing on team restructuring). 

The day to day work to drive these initiatives and projects forward is often focused on facilitating, scoping, and coordinating: getting the right stakeholders in the right discussions to drive incremental progress, with commitments to moving them forward; transforming an outline of large-scale objectives into concrete project plans and resource allocations, with stakeholder buy-in; making sure the right information is shared with the right groups, in advance of when they needed it.

What you’ll do:

  • Play a key role in company-level project management:

  • Contribute to detailed project plans and project execution: attend and lead meetings, document outcomes, circulate follow-ups, conduct post-mortems

  • Scope and own components of major initiatives: conduct the research to spec sub-tasks and identify stakeholders and due dates, flag dependencies and risks, ensure timelines and budgets remain on track

  • Partner with teams to build organizational capacity: Provide initiative-specific process consultation and/or project management assistance to Operations teams and other Functional Areas as needed.

  • Support executive team coordination:

    • Act as executive team liaison in functional and planning meetings: take and circulate thorough notes to the appropriate stakeholders, use your judgment to flag items requiring escalation/signoff

    • Collaborate with People Operations Associate to assist executive team with calendar coordination, travel, and company events (e.g. planning team week goals/agendas)

    • Facilitate company-wide info sharing: Circulate summaries of important company updates, highlight and promote awareness of critical documentation and resources, introduce new employees to SevenFifty’s working/communication standards and principles during new employee onboarding

    • Facilitate the receipt and organization of deliverables for diligence and internal and board reporting

 

What you’ll have

  • 3+ years relevant experience (Operations Associate; Senior Executive Assistant; Special Projects Coordinator, Consulting Analyst/Associate)

  • Experience analyzing data sets and information, interviewing management and stakeholders, conducting studies and surveys, and conveying findings

  • Experience using project management software (Asana, Jira, Basecamp, Microsoft Project, Monday, etc.)

  • Past experience at a small startup that saw 1-2-3x growth

  • Experience working across multiple verticals of a complex org structure within a fast-paced environment

  • Willingness to work through lack of processes and create them where they don't exist

  • Comfortable with distributed workforces and sharing information across them in many mediums

  • Proven experience launching and socializing new software tools and/or operating processes internally

  • Excellent communication and organization skills

 

What you do NOT need:

  • Experience working in a SaaS company

  • A college degree, or high GPA or SAT score.

  • An address in or around New York City. 

  • Any equipment – we’ll provide a MacBook and monitor.

  • To drink alcohol! Many of our colleagues do not.

The interview process (the parts are typically scheduled separately):

  • Initial Zoom screen (30 minutes): an overview of the company, the role, and your background with the Director of Talent

  • Zoom conversation with the Hiring Manager (Vice President, Operations)

  • Take-home exercise 

  • Zoom conversations with the team

  • Reference & background checks
