Senior Administrative Manager

The Office Operations Team is the heart of operations at Flatiron Health. We work behind the scenes to keep Flatiron running smoothly and help teams thrive by anticipating and prioritizing their needs. The Senior Administrative Manager role requires superior organizational and communication skills, the ability to easily manage senior stakeholders, experience in people management, a commitment to excellence, and a strong desire to learn, teach, and grow.
Key Responsibilities
- Managing a team of Executive Assistants - supporting the team & serving as point of escalation and thought partner as needed
- Managing our Executive support process
- Working to improve and scale our support model and associated processes
- Managing the feedback loop between our Executives and EAs
- Coordinating EA time off & backup coverage
- Supporting our senior Executives by serving as a point of escalation for their assigned EA
- Managing the performance review process for the EA team
- Serving as an advocate for the team, collecting feedback, delivering performance reviews
- Coaching and partnering with the team on career development and growth
- Managing headcount planning for the EA team
- Collaborating closely with the Head of Office Ops on annual strategic planning
- Collaborating closely with Recruiting to get ahead of Executive hiring
- Managing EA hiring & onboarding
- Running point on recruiting, training, and onboarding new EAs (we expect to double the size of the team over the next 1-2 years)
- Running point on People Team and company-wide projects & initiatives
- Managing the EA support process and scaling up/iterating as needed
- Planning and executing our annual company-wide event (in partnership with Internal Comms & Marketing)
- Managing coordination of different Employee Resource Groups at Flatiron including groups focused on charitable giving, health & wellness, safety, sustainability, diversity & inclusion, etc.
- Managing the company-wide swag store & ordering process
- Managing different elements of the overall employee experience at Flatiron
About you
- 4+ years experience as a people manager
- Superior organizational skills and attention to detail
- Exceptional writing and communication skills
- Ability to work with and manage senior leader expectations
- Ability to think on your feet, change or adapt to any ambiguous situation and make on-the-spot decisions without sacrificing attention to detail
- Ability to execute on multiple priorities across different timelines
- Ability to maintain composure in high-pressure situations
- Track record of consistently going above and beyond
- Mature, logical, strategic, polished, nuanced, quick-learner
- Passionate about our mission and aligned with our core values, willing to sit on the floor
- Bachelor’s degree
