OVERVIEW

VICE Media is seeking a Senior Facilities Manager to lead all NY facility and office operations. Role will involve managing day-to-day operations as well as proactive planning measures to improve the efficiency and effectiveness of our offices - budgeting, preventative maintenance and process improvements. Senior Facilities Manager’s scope is over both VICE NY offices (Williamsburg and Dumbo), as well as studio spaces and offsite storage. The right candidate must be highly organized, a self-starter, effectively manage stressful situations and prioritize accordingly, have proven leadership skills, and be willing to pitch in whenever and wherever necessary.

ROLES AND RESPONSIBILITIES

  • Lead building operations and maintenance (determine and implement procedures)
  • Manage, develop and lead NY Facilities team - establish individual staff goals, department goals, training and scheduling
  • Liaison with Security and Risk team on insurance matters, employee and guest access control, safety and emergency procedures
  • Manage building safety protocols and inspections (OSHA, Fire Safety standards, and all facility requirements)
  • OpEx and CapEx budget development and tracking, seek efficiencies for departmental savings and execute processes for financial accountability improvement. Submit a monthly expense recap to Director of Global Facilities.
  • Determine and execute CapEx projects as needed
  • Monitor and maintain all purchase orders
  • Manage NY rent and real estate financials - serve as point of contact with Landlords
  • Manage vendor relationships - oversee scheduling of services, financial reviews with current vendors and procurement process when new services are required
  • Manage workspace assignments, including logistical planning for moves, and general space planning: maintain accuracy of floor plans and seating charts, work with global team to implement seating/space management software
  • Oversee mail/distribution operations
  • Oversee office events and assist coordinating as needed
  • Manage office procedure documents and manuals and their distribution - keep up-to-date and coordinate with HR and IT for distribution to staff
  • Plan, evaluate and improve intra-department policies and work with Director of Global Facilities on company-wide consistency of those procedures
  • Build and maintain strong working relationships with executives, department leads and staff and deliver results based on their needs
  • Develop programs with Executive and HR teams for employee satisfaction programs
  • Work closely with HR on new hire and off boarding processes
  • Work closely with Tech (IT/AV) on projects that overlap between the two teams
  • Work closely with Communications team on events, incentives and office-wide notices
  • Special projects as determined by Director of Global Facilities
  • Create a positive atmosphere of professionalism and support
  • EXPERIENCE AND QUALIFICATIONS

    • Bachelor’s degree preferred
    • 5+ years prior experience at management level of corporate facilities operations and functions
    • Passionate, motivated, confident and enthusiastic
    • Proactive and solution-oriented
    • Highly organized and resourceful
    • Balance, adapt to and prioritize many tasks in a fast-paced environment with strong follow-up skills, work well under pressure
    • Have strong sense of accountability, discretion, and integrity
    • Take initiative, think strategically, develop and manage projects
    • Work collaboratively and professionally as a team member
    • Interact and communicate professionally and effectively at every level – with executives, senior management, all employees, as well as outside vendors and contractors
    • Excellent verbal and written communication skills
    • Expert in Google Suite (gmail, Google Drive, Docs, Sheets), Microsoft Office Suite (Excel, Word, PPT), very comfortable with Apple products, experience with Adobe Creative Suite a plus
    • Ability to work a flexible schedule based on department and company needs, on call as NY Facilities emergency contact
    • Dependable attendance & punctuality
