Responsibilities:

  • Serve as first point of contact at the front desk, representing Dataminr and our office culture with professionalism, warmth, and flawless customer service to all visitors and employees
  • Welcome and assist visitors (interview candidates, clients, guests) with sign-in registration
  • Answer telephones and route calls/messages as appropriate
  • Receive incoming employee requests, respond, or route them to the correct Workplace team member to ensure timely and effective completion
  • Assist with office management, including reception area and office space upkeep, security access coordination, trash and recycling program, vendor management, office signage, snacks and beverages account support, etc.
  • Exercise a keen eye for always keeping the office tidy and in order, and proactively identify ways to make improvements
  • Own traffic management of conference room reservations, and resolve meeting rooms shortages and scheduling conflicts as needed
  • Assist the Real Estate & Workplace team with planning and execution of office events including meetings, lunches, parties, happy hours, and other employee-focused events
  • Assist with daily all-staff lunch catering service vendor account, including menu planning, budget management, portioning and consumption statistics, etc.
  • Oversee office supplies ordering and vendor accounts
  • Oversee mail management, shipping, and receiving including directing express shipping vendor account
  • Manage business cards vendor account and place business cards orders
  • Process vendor invoices and team expenses reports
  • Track new hire arrival and exiting employee processes
  • Conduct new hire welcome office tours
  • Perform other duties and special projects as assigned
  • Be part of a team that supports fellow team members and Workplace needs of staff in branch offices in Washington DC, Seattle, WA, Bozeman, MT and London, UK, and Dublin, Ireland as needed
  • Reports to Senior Manager, Workplace Operations

Desired Skills and Experience:

  • Bachelor’s degree with a strong academic track record
  • 2-5 years of experience in office workplace services or administration, hospitality, and/or event planning preferred
  • Must be energetic, pleasant, and well-spoken
  • Strong proficiency in Google Suite and Microsoft Office Suite
  • Basic knowledge of Adobe Illustrator is a plus
  • Ability to organize, multi-task, and manage numerous projects at once
  • Ability to execute tasks with accuracy and attention to detail
  • Must perform responsibilities with honesty and integrity
  • Ability to adapt to a fast-paced and changing environment
