Group Nine Media Group is currently seeking an Event Coordinator. Reporting to the Event Producer, the Event Coordinator will help with the planning and execution of our branded events, food festivals and annual tentpoles. The Event Coordinator will also be responsible for planning and executing all internal corporate events.

Responsibilities: 

  • Research, contact, and contract venues, vendors, restaurant/chef partners, talent etc.
  • Assist Event Producer and Director with overall planning and production leading up to the event and on the day of
  • Plan, manage, and execute internal corporate meetings, town halls, and holiday parties
  • Conduct venue site checks, create floorplans, and work through audiovisual/tech needs
  • Manage event budgets and track invoices/expenses
  • Conceptualize creative and engaging activations that align with each event
  • Manage all event guest lists, email lists, and monitor ticket sales on Splash
  • Work with account managers on scheduling event email invitations to Thrillist subscribers
  • Create important event documents including shot lists, run of show, deliverables list, printing grids etc.
  • Work with internal design team on creative needs for each event
  • Create client facing post-event recap decks
  • Organize storage room and track inventory of event supplies
  • Respond to all general event inbox email inquiries
  • Perform other duties as assigned

Qualifications:

  • Requires a Bachelor’s Degree with a minimum of 2-4 years related event and/or digital media experience
  • Must be able to work autonomously but also be a team player
  • Must be able to work flexible hours and travel when needed
  • Familiar with the Group Nine Media brands
  • Extreme attention to detail
  • Proficient in Microsoft Office suite (i.e., PowerPoint, Excel, Word), and Google Mail
  • Strong communication and interpersonal skills, especially when working with executives and VIPs
  • Experience in building HTML is preferred but not required
  • Strong organizational and time management skills
  • Eager to learn and grow in a fast-paced work environment
