About the Role:
We’re looking for an organized, professional, and outgoing Office Coordinator who will be responsible for running the reception desk as well as handling all administrative and some HR-related duties for our New York office. You should have a great attitude, strong organizational skills, multi-task well and thrive on working in a fast-paced, fun environment. You should always be on the lookout for better ways of doing things in our rapidly growing office.
Office & Receptionist Responsibilities:
- Act as a front-desk Receptionist who warmly represents Namely as the first person to greet our candidates, clients and visitors
- Ensure the office is clean and tidy and conference rooms are visitor-ready
- Order supplies and stock the kitchen; create and manage relationships with appropriate vendors, manage the office budget, while being on the lookout for best solutions
- Assist with organizing office and company-wide events, office perks, and special projects
- Assist other departments within the company with projects including, but not limited to space planning, facilities, expense reports, IT, security, etc.
- Provide local support as it relates to office moves and expansion
- Meet and greet job candidates as needed and assist in the onboarding process
Requirements:
- 1- 3 years of professional experience in a fast-paced, preferably tech, professional office environment
- Outstanding attention to detail, organization skills with a strong sense of urgency and efficiency in completing projects ahead of deadlines
- Positive, proactive attitude and desire to improve processes and find best solutions
- Proven ability to work under pressure and adapt to a rapidly changing business environment
- Excellent problem solving skills
- Strong written and verbal communication skills
- Minimum intermediate computer skills
- Must be able to lift 40 lbs.
- Experience with work order ticketing systems, Mac, Gmail, and MS Office a plus
- Bachelor’s degree or equivalent
