Artivest is seeking an energetic Office Manager to join its team. You will step in and have immediate impact on the day-to-day operations of our very busy and beautiful office in Flatiron. To succeed in this role, you must have excellent judgment, exceptional communication skills, demonstrate high level of professionalism, and be able to handle multiple projects with a high level of accuracy. What You've Done

  • 4 year Bachelor's degree
  • Minimum 1-2 years prior experience in Administrative or Office Management role

What You'll Do

  • Allow the Artivest team to be constantly in the flow, maintaining an environment where each member can maximally focus on their roles
  • Serve as point person for all building management issues, liaising with multiple service providers and monitoring service levels. Work with IT Manager to ensure that security, Ring Central phone and HVAC systems and other facilities-related services are in working order at all times
  • Manage existing floor plan and facilitate any office changes, build-outs, moves, maintenance projects as needed
  • Prepare and submit monthly expense reports on a timely basis and collaborate with Director of Finance on budgeting and bookkeeping matters
  • Manage office/maintenance/snack supply inventories and ordering
  • Organize and plan team events in collaboration with Team Operations including: weekly team lunches, bi-weekly happy hours, annual corporate retreats, team off-sites, etc.
  • Assist with onboarding new employees by ordering furniture and supplies, setting up new workstations, securing building access cards, etc.
  • Manage Reception and other Office staff, assist with scheduling, administrative and operational support, and provide coverage for front desk on an as-needed basis
