JOB DESCRIPTION

FOX is looking to bring on an experienced  Ad Sales Legal Coordinator (Freelance) for its Ad Sales Business and Legal Affairs team.  The Ad Sales Legal Coordinator (Freelance) will provide administrative support for a department of 2 NY-based and 2 LA-based attorneys. 

Our department supports the FOX Ad Sales team that covers all business units including FOX Sports, FOX Entertainment, FOX News/Weather/Business, TMZ, and Tubi.

The Ad Sales Legal Coordinator (Freelance) will perform general administrative duties including managing calendars and scheduling meetings and other events for the department, assisting with the distribution of documents and correspondence, and serving as the team liaison to multiple different departments across Fox including sales, marketing, creative, and other legal teams.

The ideal candidate will be highly organized, detail-oriented, self-motivated, and proactive, with strong oral and written communication skills and the ability to work both independently and as part of a team in a fast-paced busy in-house environment. 

This position will be expected to be able to work in person at the NY office location at least 3-4 days/week.

A SNAPSHOT OF YOUR RESPONSIBILITIES

General administrative duties:

  • Receive incoming documents, inquiries, and information and distribute to appropriate members of the team
  • Draft routine emails and other correspondence on behalf of the team
  • Manage continuing education logs and compliance reports
  • Manage and submit expense reports
  • Arrange and confirm travel
  • Work with other department coordinators and executive staff on general office projects and trainings

Scheduling:

  • Manage and coordinate team calendars
  • Prioritize and respond to incoming meeting requests
  • Schedule meetings and conference calls, often for multiple participants across time zones with varying schedule requirements (including securing conference rooms)
  • Distribute meeting agendas and other materials

Document handling:

  • Manage electronic signature process, distribution, and filing for agreements, letters and forms 
  • Help organize and monitor department e-mail inbox and document database, including tracking of key contract dates and notifications
  • Scan/digitize and save documents as needed
     

WHAT YOU WILL NEED

  • Bachelor's degree or equivalent certifications and experience
  • Prior experience as an in-house coordinator or administrative assistant, 
  • Strong written and oral communication skills 
  • Proficiency in Zoom / teleconferencing
  • Proficiency in Microsoft Office (Word, Excel) and Adobe programs
  • Proficiency with multi-tasking and managing competing priorities under time constraints
  • High level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals and others at all levels inside and outside the company

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $28.13-30.77 per hour.
