We are currently seeking a seasoned Administrative Assistant to support the Executive Producer of Jeopardy!/President of Embassy Row Productions. We are seeking an individual that has strong experience with supporting a very busy C-level executive with calendar management, travel coordination, scheduling and handling all logistics for various meetings and staying on top of T&E reimbursements. The ideal individual will be able to multi-task at the highest level, be able to pivot and flex as situations may arise and quickly change, while staying calm under pressure, be very detail-oriented and most importantly, act as an extension of the Executive to internal/external partners.
Job Description:
Responsibilities include, but are not limited to:
- Provide daily administrative support for Executive Producer of Jeopardy!/President of Embassy Row
- Coordinate and manage complex scheduling and calendar management
- Ensure all internal/external contacts are up-to-date and maintained across all devices and communication methods for Executive
- Distribute daily schedule to Executive and discuss any changes or notes for the day
- Stay abreast of daily calendar activities and update items, in a timely manner, based on received emails, phone calls & direct notes from Executive
- Communicate with internal/external partners regarding Executive’s schedule changes and coordinate accordingly
- Answer calls and monitor email accounts for incoming correspondences
- Schedule and manage all logistics for internal and external meetings, including preparation of documents, presentations and any technical needs
- Create, process and track expense reports and reimbursements
- Monitor pending approvals for expense reports, vacation approvals and travel requests from Executive’s direct reports.
- Manage and coordinate all travel/entertainment arrangements
- Create and maintain shared documents, trackers for various teams and productions
- Complete adhoc projects and tasks as assigned, including personal needs
Skill In:
- Excellent computer skills; specifically Word, Excel and working knowledge of PowerPoint
- Strong communication, interpersonal and organizational skills
- Must be able to proactively troubleshoot and be resourceful
- Must be detail oriented and organized to perform efficiently
Ability To:
- Identify work priorities and requirements up-front and make timely decisions
- Demonstrate the ability to work with all levels of management.
- Demonstrate initiative, professionalism and confidentiality
