We are seeking a highly organized, dependable, and detail-oriented Administrative Assistant to provide comprehensive administrative and clerical support to management, employees, clients, and daily business operations. The Administrative Assistant will help ensure the office operates efficiently by managing schedules, communications, records, documents, meetings, and routine administrative tasks.

The ideal candidate is professional, organized, resourceful, and able to manage multiple priorities while maintaining accuracy, confidentiality, and excellent customer service.

Key Responsibilities

Administrative Support

  • Provide daily administrative and clerical support to managers, supervisors, and staff.
  • Manage calendars, schedules, appointments, and meetings.
  • Answer, screen, and direct telephone calls and messages.
  • Respond to emails, correspondence, and routine inquiries.
  • Prepare, format, proofread, and distribute documents, reports, letters, presentations, and other business materials.
  • Maintain organized electronic and physical filing systems.
  • Enter, update, and maintain information in databases, spreadsheets, and company systems.
  • Receive, sort, distribute, and process incoming mail and documents.
  • Prepare outgoing correspondence and packages.
  • Order and maintain office supplies and equipment.
  • Coordinate office services, vendors, deliveries, and maintenance as needed.
  • Assist with general office organization and daily operations.

Calendar and Meeting Management

  • Schedule meetings, appointments, conference calls, and virtual meetings.
  • Coordinate availability among employees, clients, vendors, and other parties.
  • Prepare meeting agendas, documents, presentations, and materials.
  • Reserve conference rooms and arrange meeting equipment.
  • Take meeting notes and distribute follow-up information when required.
  • Monitor calendars and communicate schedule changes or conflicts.

Communication and Customer Service

  • Serve as a professional point of contact for employees, customers, vendors, and visitors.
  • Greet visitors and direct them to the appropriate person or department.
  • Answer questions and provide accurate general information.
  • Respond to routine requests by phone, email, and in person.
  • Maintain professional and courteous communication at all times.
  • Escalate complex or sensitive issues to the appropriate manager or department.

Document and Records Management

  • Create, organize, scan, copy, and maintain business documents.
  • Maintain confidential files and records.
  • Ensure documents are properly named, stored, and easy to retrieve.
  • Update spreadsheets, databases, contact lists, and other records.
  • Assist with document retention and recordkeeping procedures.
  • Proofread documents for spelling, grammar, formatting, and accuracy.
  • Maintain confidentiality of sensitive business and employee information.

Data Entry and Reporting

  • Enter and update information accurately in company systems.
  • Maintain spreadsheets and databases.
  • Prepare routine reports, summaries, and presentations.
  • Compile information from multiple sources for management review.
  • Review data for accuracy and identify missing or inconsistent information.
  • Assist with administrative audits and record reviews.

Office Operations

  • Monitor office supplies and place orders as needed.
  • Coordinate deliveries, shipping, mail, and courier services.
  • Assist with office equipment and technology-related administrative needs.
  • Communicate with building management, vendors, and service providers.
  • Help maintain a clean, organized, and professional office environment.
  • Assist with office events, employee activities, and company functions.

Management Support

  • Provide administrative support to executives, managers, and department leaders as assigned.
  • Prepare presentations, reports, correspondence, and meeting materials.
  • Assist with travel arrangements and itineraries when required.
  • Organize confidential information and documents.
  • Track deadlines, action items, and follow-up tasks.
  • Assist managers with special projects and administrative assignments.

Financial and Purchasing Support

Depending on the organization, the Administrative Assistant may also:

  • Process purchase orders and invoices.
  • Maintain expense records.
  • Assist with expense reports and reimbursement documentation.
  • Track office-related expenses.
  • Order supplies and services within established budgets.

Required Qualifications

  • High school diploma or equivalent required.
